One thing we noticed when vetting Connecteam is that this vendor has such a generous free plan. Interestingly, except for the part this plan only allows for 10 users at most, it actually offers more features than the paid plan Basic. So if your team is eligible for this freebie, we highly recommend you opt for it.

For bigger teams, especially those with deskless employees, Connecteam can still be a logical option in many ways. First is for its vast range of functionalities. Within Connecteam’s Communications hub, you get Updates – a social media-like communication network, Chat – where authorized users can send messages privately, in groups, or company-wide, Directory – a digital phonebook for internal and external work contacts, Knowledge Base – the source of truth for all company resources, and Event – where you can invite, publish, and promote special team meetings.

Given the many features offered, a valid question is whether the user experience is still fine. Thankfully, unlike many other platforms we've tested that try to be jacks of all trades yet end up being masters of none, Connecteam has managed to provide classic quality: a clean interface that works well across devices and multiple ways for teams to communicate effectively without invading individuals' privacy.

Be warned, though, that this vendor may disappoint you when it comes to integration capabilities. As of this writing, it can natively connect to only a few payroll apps, while Enterprise is the one and only plan that has the platform’s API access.

Connecteam’s standard data security features are not half bad, with role-based access control, GDPR, ISO 27001, and SOC 2 included. But if you want advanced features like SSO, 2FA, and mobile app lock, you’ll also have to opt for the priciest plan – Enterprise.

CONS

  • When several people use Miro at once, the system can get bogged down and laggy. This can create confusion among users when they’re all trying to click, add shapes, move, and create together.
  • Although Miro makes it clear who commented, it isn’t always clear who created what or when. This could be problematic when revisiting a flow chart or diagram in the future.
  • You get basic shapes on the low-tier plans, which works for creating simple designs. For developers and more complex diagramming, you’ll need to upgrade to a high tier plan to unlock specialized shapes.
  • Despite Miro offering a free plan, the paid plans are a bit expensive especially for a small business on a tight budget.

Team up with all of your coworkers remotely for real-time ideation. You can all work on the same board simultaneously using prebuilt templates, shapes, and frames to suit your project or map.

You can use the included video chat to connect with teammates as needed, run a “smart meeting” for collaborative brainstorming, or integrate other communication apps to share boards through software you already use.

I worked for a game development company with a big marketing team. To connect everyone's work, we decided to use Miro. I have been using Miro for a month, but already love and am impressed by its helpfulness and interactive design. The key benefit is that everyone has access to see the projects, it is simple to learn, it has modern design, and the price is affordable. Also it has a lot of tools that we still need to discover.

  • No offline access. It would be great if the platform adds this feature.
  • The bigger the team is, the more expensive Miro’s plans get. I think Miro should update their pricing policies for big companies.

I use Monday to manage talent acquisition and talent relations. Monday makes it easy for business groups to work together regardless of where an individual might be located. This is especially important when a project crosses multiple departments - for example, a salesperson can work with IT to better determine the likelihood of success on a particular project and work with accounting to better develop pricing. Monday also makes it very easy to take a close look at an employee’s performance, KPIs, and other metrics. For an HR person, this functionality is vital to ensure that training is effective, that talent acquisition is on-point, and that compensation and evaluations are more effective. Monday is essential to building an effective corporate culture.

What do you like about this tool?

Monday is highly visual, which makes it easy to use. The dashboards are intuitive, which, again, shortens the time to ramp up and become productive. Monday is also incredibly flexible. I use it for talent acquisition and management, but it’s also very effective in sales development and project management.

Why did your organization buy this tool, and how long have you used it for?

As an HR Consultant, I’ve found Monday to be very helpful in addressing a variety of issues. For example, I’m able to collaborate with different teams on talent acquisition and talent management. Monday lends itself well to encouraging a collaborative work environment even for remote employees. By making it easy to collaborate, Monday helps to encourage employee engagement, which, in turn, strengthens corporate culture and improves retention. For these reasons, I encourage all my clients to use Monday.com.

What do you dislike about this tool?

I recommend Monday to my customers, and the complaint that they commonly have is that the pricing is confusing. Also, the trial day is only fourteen days when the industry standard is thirty - that alone turn some customers off. Finally, time tracking is only available on pro accounts.

How is this tool different than their competitors?

Monday is very easy to use, and it’s easy to use effectively and quickly. In other words, onboarding and training are literally a breeze with Monday.

Monday is perfect for remote teams, especially those in different time zones. Because of the ability to track project progress, it’s a big help for remote management.

How has this tool changed or evolved over time to meet users needs?

Monday has become very customizable and can meet a huge variety of business cases. As of now, there are over 200 templates for creating boards and building automations. It’s hard to imagine needing more than that.

What specific type of user or organization is this tool very good for?

Monday is a natural choice for medium-sized companies with remote teams, especially those who have teams overseas, or at least in different timezones.

I don’t think Monday would be as useful to a co-located team, particularly if there are asynchronous processes.

At first glance, Podio seems like a lean, easy-to-use collaboration tool with task management, calendars, and workspaces. However, it has built-in functionality for making apps you can create yourself with no coding necessary. Simply drag and drop elements you want in your app and click “done.” It’s a great way to organize projects, assign work, and access the finished products.

The activity stream, built-in messaging, and commenting makes it easy to see who’s working on what, when it’s due, and encourages conversation, and thereby collaboration. Podio offers an intuitive platform, but it does take a while to learn how to create apps and use the platform to its fullest potential.

I like the user interface of Podio; it's easy to navigate to find projects, whether completed, ongoing, or ended. The tool comes with free support from a responsive technical support team. I appreciate the easy integration with boardroom tools, making it simple to create meetings within the application. The pricing is affordable, favoring even smaller businesses.

Why did your organization buy this tool, and how long have you used it for?

It was hard to manage all projects from our team across different locations, and we needed a tool to manage, track, and monitor all projects, collaborate in real time, and provide better customer satisfaction to our leaders. Implementing this tool in our workspace has helped us complete more projects on time and collaborate with teams from different locations remotely. It has improved our productivity and efficiency. From the very first time we tested Zoho Workplace, we knew ease of use was one of its biggest strengths. This collaboration software has a modern, intuitive design, and a smart consolidated dashboard layout. It’s clean and personalizable and, during our testing, we found that presented data was updated instantly.

We are impressed by the range of features this platform offers. To date, Zoho Workplace comprises nine applications, ranging from email, calendar, and meetings to office suite, work drive, task management, and team chat. What's really impressive is how well these applications are integrated. Once you upload a file in one of the nine apps, for example, Zoho Workplace automatically syncs apps, so you don’t have to bother with manual reuploading.

Compared to popular solutions like Microsoft 365 and Google Workspace, Zoho Workplace has fewer advanced features and less stable apps. However, pricing-wise, this vendor provides comparable foundational tools at a much better rate.

While not advertised on the official site, Zoho Workplace does have a free version you can use after signing up for a free trial. This plan comes with 5 users, each equipped with 5GB of storage, which is not bad at all. The only part we dislike is that it allows for a mere 25MB of attachment storage.

Our biggest disappointment with this platform, though, is its mobile app. Many users have encountered glitches, especially during app log-ins. You should also be aware that Zoho Workplace is designed with SMB users in mind, so it may not be ideal for large enterprises.

Bitrix24 has evolved into a true digital workspace by combining key collaboration tools that typically require separate platforms. In our demo, we explored the latest version of Bitrix24 and were particularly impressed by how closely integrated its core features have become.

Messenger is now the entry point for most users, and for good reason. It merges chat, tasks, calls, and CoPilot (Bitrix24's AI assistant) into a single screen. Conversations can easily evolve into tasks or meetings, and new hires are automatically added to department chats, streamlining onboarding. Features like polls and auto-deleting messages add utility for day-to-day work and confidential discussions alike.

The Feed acts as an internal social network. It’s where company-wide announcements, file uploads, approvals, and status updates live. While some teams might not use it heavily, we found it useful for maintaining transparency and visibility across distributed departments.

Collabs stood out as one of the most flexible additions. These shared spaces are designed for external collaboration with partners, vendors, or freelancers. Inside a Collab, teams can chat, manage tasks, schedule meetings, and share files without giving full platform access. Calendar permissions, file access, and participant settings can all be adjusted per project or user.

Speaking of calendars, Bitrix24’s Calendar is deeply integrated across the platform. You can view department calendars, sync events from Collabs, and schedule team meetings without leaving the workspace. The ability to check participant availability or offer open slots is particularly helpful when coordinating across time zones.

The platform also includes Online Documents via Bitrix24.Docs. We tested collaborative editing with multiple users and appreciated the real-time updates, comment threads, and version history. Access controls at the file, folder, or drive level ensure the right people are always looped in. Additionally, Boards offer a visual layer, drag-and-drop workspace for task and project tracking. We liked how easily tasks could be created from Messenger or Collabs and added directly to a Board with full visibility.

Still, there’s no escaping the platform’s complexity. Bitrix24’s ambition to do everything means the interface can feel dense and cluttered. Even with the improved Space+ layout, many tools are hidden under layers of menus, making them hard to discover or use intuitively. This complexity can slow down onboarding, especially for users unfamiliar with enterprise collaboration software. In our experience, training or admin setup is essential before teams can take full advantage of the toolset.

Support also presents mixed results. While Bitrix24 offers a robust help center and extensive self-service content, some users we spoke with noted that real-time assistance is available only to account administrators or may be routed through certified Bitrix24 partners. As they shared, this has led to some delays when trying to troubleshoot or reconfigure parts of their workspace.

Slack devs also added the most common file extensions, so you don’t have to confirm each time you open a file. As a communicator in HR, I utilize various channels of Slack to motivate our team around various initiatives. I also use external Slack channels to find resources to support my job. I love searching channels to see what resources I can find or if a topic that has been discussed before can be useful for a project I’m working on.

I love the channel feature in Slack - recently, I created a manager channel where I can communicate with our managers and it has been a huge hit. I love that Slack lets you create your own emojis, it can really help with engagement branding. I also like that Slack can be external and you can meet other individuals going through similar challenges.

Why did your organization buy this tool, and how long have you used it for?

I am not sure why our organization purchased Slack specifically. The tool has been here since I started with the company a little over 2 years ago. I believe we were trying to create cross-collaboration. It provides benefits to quickly collaborate, connect and call one another. I have personally used Slack for over 2 years.

What do you dislike about this tool?

Sometimes I am not sure who can view my messages, I wish that was a bit more clear. The at here feature can be difficult to understand who will receive the notification. I also sometimes fear my huddle is still on when I already hung up. I also wish slack was more easily integrated into my calendar and I didn’t manually have to update my status, but that’s probably something I could figure out on the back end or perhaps not something my organization currently leverages.

How is this tool different than their competitors?

Slack is so much better than say, MS Teams. I used to use MS Teams and it was clunky and frustrating to use. I feel like it has a much better user experience and is more fun - especially with the little auto notes the tool sends.

What Instructions should people think about when buying this type of tool?

Consider your culture, if "fun" is a part of it, Slack is for you. Consider what you are trying to accomplish - if collaboration is important, it's a great tool for that. I would also mention slack isn’t a replacement for Zoom. It has great functionality to huddle, but I think zoom has better functionality for setting up meetings. I would get slack for employee communication and last-minute meet-ups.

How has this tool changed or evolved over time to meet users needs?

The emoji feature has been pretty cool - and huddle has changed the game, too, in my opinion. Both functionalities make it easy to use and make connection easier.

Large or mid-size orgs.

Smaller orgs might not benefit quite as much just because you might not need as many channels, but it could still be a good resource

We have used Trello for personal projects and as a collaboration tool to organize our work and track our progress. The platform has been helpful to us in various ways. One of the things we like best about Trello is that it is very easy to use. You can create boards for each project and then create lists and cards within each board. This makes it easy to track our work and see what needs to be done, by when, and who.

We often are very skeptical about free things (we have trust issues with free stuff’s quality), but Trello has opened our minds. It is simple but effective. You can even use automation features without upgrading to its paid plans.

Teams that use Trello for project management can get a bird’s-eye view of each project by glancing at each board available to them. Clicking on a card will let you view a task description, who’s working on it, a checklist of subtasks, and attachments. You can also leave comments on each card to collaborate with other team members within the app.

However, tracking the history of user activities on Trello isn’t easy. While the automation feature is helpful, it can take time to figure out. We also wouldn’t recommend Trello to teams that require native time tracking, robust customization, and features like project dependencies.

My recruitment team uses Trello every week, and in some months, we even use it daily. In order to better organize our responsibilities for the planned events, we created 3 boards, for job fairs & career days, professional training & conferences, and meetup (headhunting) events.

Trello is also very useful to organize the stages of each event and to follow the progress in the Lists: to do - in progress - done. Furthermore, it helps us delegate tasks clearly by adding the precise tasks and assignee in each card.

Besides organizing our participation in the events, it is sometimes used for collaboration on projects, for example, educational ones (new sourcing tool: learn & teach others).

What do you like about this tool?
  • It’s very good for organizing our work even with the free version, and the premium is not so expensive.
  • Trello allows visibility of the contributions of each team member to some projects, which motivates others as it fosters team spirit.

My organization was creating an annual plan for the recruitment events that my team is visiting. There was an idea to organize those events in different groups, which would help the headhunting and professional development process of the recruiters. Trello’s features really helped the delegation of the tasks among our team and aligned us towards common goals. It is very user-friendly and easy to navigate. I’ve been using it for almost 3 years.

What do you dislike about this tool?
  • The menu that tracks the history of activity of the users is not very easy to follow, everything is mixed up there.
  • Power-ups with other apps are nice to have, however, it is not very compatible with the software my organization uses.
  • Automation might be useful but it requires time to figure out.

It is so easy to use that I don't have any other in my mind to compare it with.

Over time, the improvement was the time tracking feature. For a leader of a project, it might be useful to monitor how much time the team spent on some parts of the project. This information is helpful to manage time better and change delegation where needed on future projects. The timeline view was modified to look very similar to the calendar view, which made it easier to visualize the progress, and it boosted the team action visibility.

I think it can be useful for any type of organization really, especially for those that have small team projects to manage.

Us at SSR have used the tool at various points in our careers since 2017 and it’s always growing in terms of features and capabilities. That being said, it’s best to focus on the latest. In January 2023, Asana implemented several "quality of life" changes to its features, with plans to update the platform on a monthly basis. Some of the notable changes include attachments displaying upload dates upon hovering over them, saving users time and providing easy access to important information.

Additionally, portfolios have received upgrades, allowing for the inclusion of custom fields for people and dates, as well as the ability to add comment-only projects. The workload feature has also been improved, with estimated hours now available to assist in resource management across teams and projects (this feature is only available on Business and Enterprise plans).

Best For

Asana is the reason for a relatively stress-free environment at companies big and small, even solo operations! Their plans can fit all kinds of business sizes and use cases. It is used to manage projects by content creators, software developers, editorial teams, designers, NGOs, and much more.

What do you like about this tool?

I like the color coding that makes things easy to see at a glance. I love the collaboration feature as well. The best is being able to tie different project boards together to keep everything organized so you can keep track of larger goals to smaller tasks.

I have used Asana for 2 years and we used it for Project management and collaboration. We wanted to solve for lack of collaboration, efficiency in updated projects, and meeting agendas. We wanted to keep track of each other's work and manage workload without having to be micro-managey.

It's not very intuitive for people first starting to use a project management board. It's nothing that cannot be learned or taught easily though.

We primarily use Jira to track and manage the development cycle, from ideation to improvements, feature requests, bugs, and more. Larger projects are organized by epics, and each week we tackle tickets that have the highest priority. My development team is assigned to specific issues, and as work progresses on a ticket it moves through the workflow (backlog > on deck > in progress > etc).

We also use JWM (Jira Work Management) to manage operational issues. Specifically, to track onboarding progress of new vendors. Our onboarding workflow has a number of steps, and JWM makes it easy to manage the progress of each vendor.

What do you like about this tool?

To us, the main pros of Jira are:

1) Software projects have code and development integrations with most repositories. This allows us to tag commits and merge requests with the ID of the Jira ticket the work was for. In Jira, when viewing a ticket, we can quickly see the commit, merge, and build activity related to the ticket being viewed

2) Jira receives updates weekly. That means every single week there are improvements, new features, bug fixes, etc. Since we started using Jira 5 years ago it has changed dramatically, and for the better.

3) There is a huge app marketplace where you can find extensions to extend Jira’s functionality. And while many are paid apps, a lot are free.

Why did your organization buy this tool, and how long have you used it for?

We bought Jira when our development team grew and our development cycle became more organized and structured. We needed a place to track and manage all development tasks, from bugs to feature requests, in one place.

Jira solved this problem for us. Every code change we make in our software has a corresponding Jira ticket that summarizes the change, provides context, and details the specific code that was modified.

We've been using Jira for about 5 years now, and in that time it has evolved a lot. It's without a doubt one of our most valuable tools.

What do you dislike about this tool?

1) There are a number of features or functions that I would expect to be part of the Jira infrastructure natively, but they aren't. For example, Jira lacks a method to identify related issues when linking tickets. Currently, users have to manually search for relevant tickets, but a third-party AI extension can help with this task. Other things that can be improved on Jira are labels organization - there currently isn’t a way to merge duplicate labels that vary only in spelling, and the ability to create checklists, which currently isn’t possible without a thirdparty integration.

2) Configuring software projects, which is the core functionality of Jira, can be difficult and confusing. They've made a lot of improvements to simplify configurations with the new project types, but for those of us that have been with Jira a long time, our projects can be difficult to configure.

3) The weekly releases constantly improve Jira, but two areas never get upgrades- dashboards and reports. Both are antiquated and could really use improvement

Jira changes weekly. The Jira infrastructure is large and includes many products- Jira, JWM, JSM (service management), Confluence, etc. They all receive weekly updates.

Since we started using Jira it has become a lot more user friendly, easier to navigate and customize, and they have expanded the native integrations with repositories.

For starters, any organization that has software or web development teams. Software projects are the core of Jira. But with JWM, Jira could be a good fit for any company that wants a powerful project management application for countless use cases.
