DeskTime Review

DeskTime is a time tracking software with a strong focus on productivity analysis and distraction neutralization. The software allows you to monitor your employees’ app and website usage, and allows you to categorize them into productive or unproductive. Using metrics from their apps usage, as well as idle time, Desktime will calculate your team's entire productivity score as well as individual contributions to tasks and projects. Using this information, your team members can see where they stand, in terms of efficiency, and note areas to improve. 

You can also activate the screenshots feature on Desktime. To reduce the intrusive nature of this particular employee monitoring tool, Desktime gives you the option to set the screenshot to regular or blurred. The regular setting will give you a clear image of screenshots, while the blurred, as is implied, will obscure the image a little. The idea is to give employees that extra privacy even as they are being monitored. Screenshots can be captured at 5, 10, 15, or 30-minute intervals.

To further improve productivity, DeskTime offers pomodoro tracking. This timer functions as an in-app break reminder that notifies you to take a break at regular intervals (usually at 52, 60, or 90-minute intervals). This feature is helpful to regain productivity levels. 

Another employee-centric DeskTime feature is what they refer to as “private time”. With this feature, employees can take time off their screens to go on breaks or attend to private matters. It is more or less a break feature. Employees can set reminders at specific times during the day so they get notified to go on their private time.

DeskTime managers can set work schedules for their employees. The scheduling interface is basically a calendar where work can be assigned for each day and planned ahead. Employees can see their work schedules on their end of the application and indicate the times they will be absent using the absence calendar feature. This improves collaboration between managers and their team members. Once submitted, managers will be allowed to review absence requests for approval.

One of DeskTime's unique selling points is their document tracking feature. Not only will DeskTime track the app you used to complete a particular task, it will also track the time you spend on specific documents you worked on within applications. If you are a freelancer that uses the same tools and programs for your work, you would appreciate this feature because you will be able to get accurate data on the time spent on different clients. 

Another feature peculiar to DeskTime is the ability to book desks, parking spaces, office gadgets, vehicles, conference rooms, office amenities, etc., ahead of time. This feature is useful for hybrid teams that work remotely and also use a central office space. It helps them organize their use of office space better. 

With DeskTime’s invoicing capabilities, you can create and issue invoices to clients using tracked time data. These invoices can be customized to include your company logo, business name, and other details pertaining to the project. You can also track your invoices from the dashboard to see which has been sent, paid, unpaid, or canceled.

DeskTime provides a reports dashboard where you can see critical information about your business metrics such as current time tracked by team members, overall productivity and effectiveness, and the time dedicated to each project. You can also see the most productive and unproductive members of your team from this dashboard. Keep in mind that you will not be able to export these reports directly from the reports dashboard. You can only view real-time data. If you want to download the reports as a CSV or XLSX file, you will have to head over to the exports section that allows you to generate any report.  

As a user, you can inform the DeskTime team of additional features you would like to have on the app using their feature requesT. If their team realizes this is a major pain point among customers, they will review and deploy. This strategy led to the deployment of the web timer feature released in January 2022, which helps DeskTime users track time without having to install the application.
