Our criteria: How we chose the best vendors

We take our research seriously and want to make sure we are presenting our readers with the very best solutions in a given software category.  Here's how we select vendors to be in our buyer guides:

  • Product: We want to have a deep understanding of a vendor's product before recommending it.  This usually means getting a demo by a senior executive (their CEO, head of product, etc), and/or using the product ourselves to make sure it has a solid UI, intuitive workflows, and the features to make it a best in class offering.
  • User feedback: We do our best to understand what users say when they experience this product.  User input allows us to accomplish a more thorough due diligence of products, put new vendors on our radar, and generally make sure we are presenting the right products to our readers.
  • Financial metrics: We are very much finance nerds and so use a product's retention rates, growth, profitability, and scale to understand whether or not it is truly best in class.
  • Best for a use case: Sometimes the best solution is the cheapest, the best tool for international companies, or the best for startups. We try to include a diversity of solutions so that our readers can find the tool that is best for what they need.

Here's more detail if you want to read further on how we research vendors.

Top Time Tracking Vendors

These are the best time tracking software vendors for several business sizes and types per our research and expert council as of July 2022.

Harvest

Review:

Like most time tracking software, Harvest features a one-click timer that records the time you spend on specific tasks and projects. In each project, users can create as many tasks as possible and track time for each of those tasks. The number of projects, however, can be limited (only 2) when you are using the free version of the software. In addition, you can set the billable rate for each task.

Once you start recording, the timer starts counting in hours and minutes spent (does not include seconds). This can be attributed to Harvest’s time rounding feature as time tracked is rounded up to the next 6 minutes. Time formats within the Harvest platform can be confusing because the app uses different configurations in different sections. For example, Harvest follows the HH:MM format for timesheet and uses a decimal time format for other sections like reports.

With Harvest’s automated reminder feature, administrators and team members can set up recurring timesheet reminders to send automatically as frequently as needed (weekly or daily). This nudges your team members to be more diligent with their time tracking.

Harvest

Stats:

  • 2 billion hours tracked and 20 million invoices paid to date.

Harvest

Pricing:

Harvest has three pricing levels - free, solo, and teams. There isn't much difference between the solo and teams package. They both cost $12 per person per person per month, and you get the same unlimited features. With free, however, you only get to track time for two projects alone. If you want to add more projects, you will have to go for the paid version. Harvest has a 30-day free trial period for all plans.

Best For:

Small businesses and freelancers that want basic time tracking features with invoicing capabilities.

BigTime

Review:

It is possible to track time on BigTime with a timer that features on the software’s dashboard. Users would have to start the timer and then once the task is finished stop the timer for it to log time entry on a timesheet. This is unlike most time trackers that log time entry automatically as you track.

Managers can access this timesheet to see how much time their employees spend on specific tasks. As a manager, you can also limit the timesheet information that your employees can see, approve, or reject timesheet submissions.

The timesheet review and approval feature helps managers check for errors. This feature, in a way, acts as a dummy employee monitoring feature because, while the manager or administrator cannot see their employees track time in real-time, they can at least review the timesheet before it is recorded.

Employees can log time manually with BigTime. They simply need to head over to the time/expense section, select the project they’re working on, the category of that project, and log the time they spent on the fields made available.

BigTime

Stats:

  • 2,000+ professional services trust BigTime
  • BigTime helped a global venture capital firm, Draper and associates, increase their productivity by 66%

BigTime

Pricing:

BigTime’s pricing plans require a minimum of 5 users and you get a free 14-day trial period. The plans are as follows:

  • Express: This plan costs $10 per user per month (billed annually)
  • Pro: This plan costs $30 per user per month (billed annually)
  • Premier: This plan costs $40 per user per month (billed annually)
  • Enterprise: This is a custom plan that depends on your business needs.

Best For:

Professional service firms that want a full-featured professional service automation software (PSA) with time tracking and DCAA compliance.

Paymo

Review:

Paymo makes it possible for you to track time directly from your browser, via a desktop widget, or on your mobile phone with their proprietary timer. The desktop widget features a timer that records the amount of time you spend on tasks so you can accurately bill clients for the work you do. Conversely, you can add time entries manually.

Additionally, Paymo features some productivity tools like a pomodoro tracker and idle time detection. When configured, the pomodoro tracker will let you know to take a 4-minute break for every 25 minutes of work done. The idle time detection feature sends notifications to either add idle time to timesheet or discard it when the user is away from the computer for up to 5 minutes.

At the administrative level, managers can get a real-time view of when team members are tracking time.

Paymo

Stats:

  • Paymo has 100,000+ users in over 50 countries.
  • The software is available in German, French, Spanish, Italian, Portuguese, Swedish, and 17 other languages.
  • mBusiness - a marketing agency based in Switzerland - increased their productivity by 35% using Paymo’s time tracking, team collaboration, and workflow tools.

Paymo

Pricing:

Paymo’s paid price plans come with a free 15-day trial period. You also get two months free if you bill annually. The plans are as follows:

  • Free: This plan is free for up to 10 users and it features simple tracking and reporting tools for small teams.
  • Small office: This plan costs $11.95 per user per month. You get more project management tools and 50 GB cloud storage with this plan.
  • Business: This plan costs $18.79 per user per month. It is designed for larger teams and you get priority support should you request any assistance.

Best For:

Paymo is best for growing project-based organizations and agencies. The free version provides all the necessary tools for small teams and as they grow, the two top tiers offer even more features to manage their larger teams.

Everhour

Review:

You can log time on Everhour automatically by using the timer, or manually by adding a time entry for a specific date. Additionally, you can include comments or notes with your time entries to give more context to your work. When you stop the timer for a task, you can always go back to restart the timer or manually update them from your timesheet.

Everhour provides a timecard feature that shows when an employee clocks in, when they clock out, how much time they spent on breaks, and the total number of hours worked in a day. This feature is perfect for businesses with salaried workers that do not necessarily need to log their hourly work.

The most interesting time tracking feature Everhour offers is their auto-stop timer. With this feature, users can configure their software to automatically stop the timer at the end of the workday.

Everhour

Stats:

  • Everhour has completed 2 million tasks and finished 2 million projects
  • Serves over 3,300 customers as of Summer 2022

Everhour

Pricing:

Everhour offers just one pricing plan starting at $10 per user per month. If you bill annually however, you get a 15% discount. You get a 14-day trial period to decide whether or not you want to fully commit to the software.

Best For:

Everhour is a good option for solo freelancers and small teams that want a simple time tracking software.

ProofHub

Review:

ProofHub users can track time using the one click-timer provided or by adding time entries manually. Once you start tracking time, the timer will keep running in the background even when you close the ProofHub window. ProofHub does not have idle time detection which notifies you when you are inactive on your computer. However, a prompt asks you whether you want to log the time as an entry whenever you pause the timer. You can either choose to save or discard the entry. This pretty much resolves the problem of logging idle time as productive time entries.

One interesting time tracking feature that ProofHub offers is the ability to set timesheets as private. By doing so, the timesheet will only be made visible to  selected team members. ProofHub does not have a native desktop application so no installation will be required. It is, however, available on Apple and Android mobile devices.

ProofHub

Stats:

  • Trusted by 85,000 customers across the globe

ProofHub

Pricing:

ProofHub offers two per-month based pricing plans. The plans are as follows:

  • Essential: This plan costs $50 per month ($45 when billed annually). This plan comes with 40 projects for unlimited users, 15 GB of storage and ProofHub’s core features. Core features include project and task management, Gantt charts, time tracking, chats and discussions, notes, and other scheduling features. Sadly, this plan does not include reports.
  • Ultimate control: This plan costs $99 per month ($89 when billed annually). This plan comes with unlimited projects for unlimited users and 100 GB of storage. You also get more features in addition to those in the Essential plan such as reports, white labeling services, API integration, and you also get priority support.

A good thing about ProofHub’s price model is that it is on a per-month basis instead of the more common per user per month basis. Which is a good deal for a larger team.

Best For:

ProofHub is best for small to medium-sized businesses that want a well-rounded team collaboration platform together with their time tracking.

QuickBooks Time

Review:

Quickbooks Time allows you track time on all computer operating system types and mobile devices. The time tracking window displays your current time, as well as the time you have tracked during the day, and your week total. You can also switch between tasks on the tracking window and the current time will refresh to reflect the time you are tracking for the new task.

Quickbooks Time also makes it possible for you to take breaks and clock out when you are done for the day. Another way you can track time is by using the manual time card option. With this feature, users can select tasks, add time entries and save.

Quickboooks is available on mobile and desktop platforms. As a cloud-based solution, you can mix and match your time tracking across all your devices. You can, for example, clock in using your mobile phone, track time with your desktop computer, and clock out using the time kiosk feature.

QuickBooks Time

Stats:

  • Collectively, the Quickbooks company serves about 4.5 million customers
  • The company has raised a total of $18.9 million in 3 rounds of funding

QuickBooks Time

Pricing:

Quickbooks Time offers two pricing plans. The good thing about Quickbooks pricing is they almost always give some form of discount at any given time. Usually, you will get a 50% discount for 3 months when you buy any of Quickbooks Time plans. You also get a 30-day free trial. The plans are as follows:

  • Premium: This plan costs $20 base fee per month plus an additional $8 per user, monthly.
  • Elite: For this plan, you pay a base fee of $40 per month plus an additional $10 per user, monthly.

Best For:

Quickbooks Time is best for businesses that are already using any of Quickbooks' services. If you also have a central location where your employees do business, this software will come in handy to help cut costs.

Timecamp

Review:

Timecamp features an automatic timer that tracks time at the click of a button. The UI is very clean and easy to navigate. Time tracked is represented on a timesheet from where time can be added manually. The way Timecamp handles idle time is probably the best because it does so in a non intrusive way. Rather than send a barrage of alerts that could be irritating, Timecamp will simply stop tracking automatically.

Timecamp gives you the ability to tag your projects and tasks for better categorization. You can also edit time entries to change the date, leave a note or make it billable/non billable. Even after you have logged a time entry, you can always go back to continue tracking.

Timecamp

Stats:

  • 76 million total hours tracked
  • 18,000 customers across the globe

Timecamp

Pricing:

Timecamp offers four price tiers. These plans come with a 14-day free trial. You also get a 10% discount on the paid plans if you bill annually. The price plans are as follows:

  • Free: This plan gives you an unlimited time tracking feature.
  • Basic: This plan costs $6.30 per user per month.
  • Pro: This is their most popular plan and it costs $9 per user per month.
  • Enterprise: In this tier, you get a more customized offering and hence custom pricing.

Best For:

Time camp is best for businesses that require data privacy. If you want to host your time tracking software, Timecamp is also for you.

Time Doctor

Review:

Users can track time with Time Doctor using any of their web extensions, as well as mobile or desktop applications. The interface is quite dated but it is simple enough to use. To track time, users will simply have to add a task and click on the timer to start the count. Users can also pause the timer to go on breaks and return to continue tracking.

On the desktop application, users can save (drag and drop) tasks into folders for smooth organization and management. The app displays an activity bar that shows up on top of every application window you use. This ensures users can see whether or not Time Doctor is tracking. It is useful to avoid the risk of not tracking time due to accidentally pausing the timer.

Time Doctor

Stats:

  • 144,000 customers use Time Doctor
  • Helped a business process outsourcing company in Texas (Personiv) save six figures in software licenses with the web and app usage feature; since they were able to tell that many of the tools they paid for were typically left unused.
  • Increased the productivity of an Egypt-based online marketplace - BookDoc - by 15%

Time Doctor

Pricing:

Time Doctor offers three pricing plans that all come with data storage and a free 14-day trial period. The plans are as follows:

  • Basic: This plan costs $7 per user per month.
  • Standard: This plan costs $10 per user per month.
  • Premium: This plan costs $20 per user per month.

Best For:

TimeDoctor is best for remote teams that want to manage their team’s efficiency and productivity, with features specially designed to give live updates on employee work-life vitals, for instance.

Toggl Track

Review:

Toggl Track is characterized by a simple and friendly workspace interface where you will be spending most of your time. From this workspace you can track time with just one click, create time entries, create tasks, and so on. Toggl Track’s autotracker is one of the most stand-out features the software offers. Once you set up autotracker for certain apps you use regularly for your work, you will get alerts to start tracking time when you forget to turn on the timer.

Still on the subject of automatic tracking, Toggl Track’s “timeline feature” automatically records every website or application you use for more than 10 seconds. At the end of the day, you can review the data to see where and how you spent your day. Although you cannot automatically create time entries with the data, you can use it to prepare your timesheet and ensure you are accurately paid for the work you do.

You can easily track billable time on your Mac, Windows, and Linux devices as well as on the web with its chrome extension and Firefox plug-in.

Toggl Track

Stats:

  • In 2020, Toggle Track helped a hospitality services business - Platinum companies - save $18,000 by identifying missing billable hours.
  • They are trusted by 5 million users in 120 countries.
  • Toggl Track increased profitability of a California-based PR agency - Sweat+Co - by 20%.

Toggl Track

Pricing:

Toggl Track offers four pricing plans;

  • Free: This plan is free for up to 5 Users. With this plan, you get unlimited time tracking, exportable reports, and CSV imports. You also get tools that improve productivity like Pomodoro timer, auto tracker and idle time detection.

  • Enterprise: Toggl's Enterprise price plan gives you everything in premium plus tailored solutions that fits the needs of large and complex organizations. You will have to request a quote on this package.

Best For:

Toggl Track is an excellent choice for small to medium-sized teams and freelancers looking for a decent time tracking solution that tracks time, gives detailed reports, tracks project progress, and manages schedules in a clean, easy to navigate interface.

Timely

Review:

Timely is probably the only software from this selection that can completely automate time tracking tasks with next to zero input from the user. The tool tracks time in an unconventional way— using activity data to record time spent on tasks and projects to then form time entries based on this data. Hence you can reach a point where you don't have to start any timers or click any buttons to track time spent on a task.

To use Timely, you will have to download the memory AI app. This app is the heart of the Timely software and it is responsible for this unconventional automatic time tracking. It is under 100MB in size and it is compatible with most windows and Mac operating systems. Once installed and activated, it will automatically start tracking as you use your Timely web app. You can equally add entries manually from the platform’s dashboard as well.

Timely

Stats:

  • Timely helped Nabler - a data analytics consulting firm - reduce time spent logging hours from one hour to 15 minutes
  • Timely has raised a total of $6 million in funding
  • Trusted by 5,000 businesses across the globe

Timely

Pricing:

All Timely price plans come with a 14-day free trial period. If you subscribe annually, you save up to 23%. The plans are as follows:

  • Starter: This plan costs $10 per user per month.
  • Premium: This plan costs $18 per user per month.
  • Unlimited: This plan costs $26 per user per month.
  • NUnlimited+: This plan allows you to tailor Timeley to your organization's needs.

Best For:

Timely is a good choice for NGOs, freelancers, and small businesses looking to gain control of their time with minimum effort.

DeskTime

Review:

DeskTime features an automatic one-click timer that is available on the web app as well as the desktop and mobile devices. The timer starts tracking time once it is enabled and the software references tracking data to calculate total time and productivity levels. One thing to note with DeskTime is that it does not provide online timesheets that logs your tracked time. All user time data will be kept and accessed through the “My DeskTime” dashboard. Users will not be able to enter manual time entries from this dashboard as well. This option is made available in the “offline tracking” section of DeskTime’s interface. Which brings us to the next feature.

DeskTime offers a feature they refer to as offline tracking but it is quite different from how it is used on most time tracking solutions. Offline time for most software is usually the time spent doing work while the internet connection times out. For DeskTime, it refers to time you want to record while you are away from your computer. For example, instances where you forgot to turn on the app or perhaps you visited a client would all qualify as offline time.

DeskTime

Stats:

  • An IT company - HasTech - saved about $2,000 in software costs when they implemented DeskTime in 2020
  • 18,000 global companies use DeskTime

DeskTime

Pricing:

DeskTime offers a 14-day free trial and you get one month free when you bill annually. The process is as follows:

  • Lite: This is a free plan. It is available to only one user
  • Pro: This plan costs $7 per user per month.
  • Premium: This plan costs $10 per user per month.
  • Enterprise: This plan costs $20 per user per month.

Best For:

Basecamp, Jira, Asana, Trello, Google calendar, Gitlab, Zapier.

Apploye

Review:

Apploye functions like most time trackers. By using a one-click timer, users can track hours spent on tasks and projects. The time tracked is then automatically logged on a timesheet. You can only use the timer on the desktop or mobile app. The software’s web app is mostly used for administrative purposes. You should also bear in mind that Apploye uses Paddle as their payment gateway. You will not be able to use your credit card directly to pay for this software.

Apploye is designed to demand accountability from employees, as it is evident in most of their features. For example, employees are required to state reasons for deleting timesheet logs or adding manual time entries. This feature, in addition to other employee monitoring features Apploye offers, can feel like excessive micromanagement. So when implementing this software, managers should seriously consider how the app fits into their company’s work culture.

Offline tracking is one of Apploye’s time tracking offering. The app will track time even when internet connections are interrupted. It then syncs the data when the user gets back online. This feature is useful for teams that have workers in remote areas with poor internet connection.

Apploye

Stats:

  • Apploye serves about 1,200 customers in 66 countries

Apploye

Pricing:

With Apploye’s pricing model, you get to save a whopping 50% when you bill annually. You also get a 10-day free trial period. The prices are as follows:

  • Solo: This plan costs $4 per user per month. It is ideal for freelancers and contractors that simply want to track time.
  • Standard: This plan costs $5 per user per month and is ideal for local teams that conduct work activities in-house.
  • Premium: This plan costs $6 per user per month. It is the preferred option for remote, hybrid, and mobile teams.
  • Elite: This plan costs $7. It is a little upgrade from the standard plan with additional employee monitoring features.

Apploye also gives custom enterprise solutions. You will have to call their customer support to get a quote.

Best For:

Apploye is a good option for teams of any size looking for a fully-featured time tracking, employee monitoring, and payment platform at an affordable price.

My Hours

Review:

You can track time with My Hours with just one click, as well as manage your tasks and projects on a simple, easy-to-use interface. Not only does it automatically track and log your activities throughout the day, you can also manually add time spent on tasks on the weekly timesheet interface. My Hours has a firm stance against employee monitoring so you should not expect to see any features that keep tabs on your employees' activities.

My Hours' UI is sleek, easy to use, and fast. Which is laudable for a software launched in 2002, considering the fact that most software in the same age range has somewhat dated or slow interfaces.

My Hours

Stats:

  • My Hours serves 100,000 customers

My Hours

Pricing:

My Hours offers two pricing plans. They are as follows:

  • Free: As the name suggests, this plan costs nothing. You get time tracking for unlimited users, the ability to set budgets for unlimited projects, and get detailed reports.
  • Pro: This plan costs $6 ($7 when billed annually). You get invoicing and some additional management features. This plan comes with a free 14-day trial period.

Best For:

My Hours is best for small to medium-sized corporate organizations that want to keep an eye on both their time and profit margin.

Insightful

Review:

As it is with most time tracking software, Insightful provides a timer for users to track time using simple clock-in and clock-out buttons. Though Insightful is available as a web and desktop application, the latter is more suited to tracking the time. The web app, on the other hand, is best for administrative tasks (employee monitoring, tasks assignments, etc).

One problem you might experience with Insightful’s timer is that, in some cases, the time of the app does not correspond with that of your computer. Also, it takes more than 24 hours for the time to be reconciled.

One of Insightful’s standout time tracking offerings is their time keeping feature. With this feature, users can access time tracking records for as far back as two years ago. This feature can come in handy for companies that undergo audits from time to time. Insightful also makes it possible for clients to access your dashboard and track project progress without interfering with your work.

Insightful

Stats:

  • Over 100,000 customers
  • Increased productivity levels of Digital Estimating (a construction company) by 90%

Insightful

Pricing:

All Insightful pricing plans come with a 7-day free trial. You also get a 20% discount if you bill annually. The plans are as follows:

  • Employee monitoring: This plan costs $8 per user per month.
  • Time tracking: This plan costs $10 per user per month.
  • Automatic time mapping: This plan costs $15 per user per month.

Best For:

Insightful is a good time tracking software for organizations that are particular about monitoring employee activity. If your business is also data-driven, this software is an excellent choice.

Clockify

Review:

You can log time on clockify in three different ways. The first way is to use the one-click timer. This tracks time automatically and creates a detailed entry at the end of your work session. Another way is to add time entries manually from the dashboard in the “manual mode”. The third way to log time is in the timesheets section. This section contains all your projects and their respective time tracked per day. You can select any of these projects and log time in cells that represent days of the present week.

A big part of clockify’s time tracking offering is their calendar feature. This feature represents your time entries on the in-built calendar app on the platform, which can be useful to visualize workflows. The calendar also connects with Google or Outlook calendars to automatically create time entries from events.

Clockify has announced that they are working on a kiosk feature that will debut sometime in 2022. This feature will make it possible for employees to clock in and out from a central device, in a central location. This can be useful for businesses where employees have to report to a designated place of business.

Hubstaff

Review:

Hubstaff users can track time with the one-click timer made available on the software's dashboard. As the app tracks time, it also automatically populates an online timesheet that can be used to process payroll, prepare invoices, and give managers a clear view of internal costs.

Although Hubstaff does not send reminders to alert users to track time, their manual entry feature compensates for this pitfall. With this feature, employees can manually add time entries anytime they forget to track time automatically with the timer.

Final Advice on Choosing a Time Tracking Software

Most time tracking vendors will ask you to schedule a free demo call to get you acquainted with their software. Here are some of the questions you can ask to guide you in your choice:

  • What operating systems does your software support?
  • Does it work on mobile devices?
  • What type of internet browsers does it support?
  • Do you have an open API?
  • What is your employee data protection policy?
  • Are time reports exportable?
  • Can employees see their timesheets?
  • Can employees add manual time?
  • What third-party softwares does it integrate with?

These questions can get you started and at least give you an idea of how the time tracker will be beneficial to your business processes.

It is important to note that some time tracking softwares focus solely on time tracking while others diversify into productivity, project management, and employee management. To make sure you accurately choose the one that addresses all your business needs we recommend you do at least three demos with some of the top vendors provided. Remember, time is indeed money!
