In other words, while Paylocity is not a company 100% specialized in software for the trucking industry, they have adapted some parts of their multi-sector tool to serve companies. For example, their payroll tool lets you pay drivers by the mile, integrate per diem pay, and manage overtime based on local compliance rules.

As with the rest of Paylocity’s ecosystem, a standout aspect is its mobile-friendly design. Within the trucking use case, this allows drivers to access their payroll details wherever they may roam. The ability to log hours, submit expenses, and receive pay alerts directly from the app helps simplify payroll management for both drivers and administrators.

We also looked into Paylocity’s compliance tools and found them particularly useful for trucking companies trying to stay ahead of ever-changing federal and state regulations. We use Paylocity every day. It is integral to our recruiting process, allowing new employees to apply and enabling us to send offer letters through the platform. We also use it for onboarding new employees, where they complete tasks like filling out I-9 forms, tax forms, direct deposit information, and signing off on policies.

Employers complete their portion of the onboarding process before employees are moved to HR and payroll. Paylocity is also used for timekeeping and scheduling, with employees punching in and out through the time clock, allowing us to track attendance and tardiness.

Additionally, we use it for payroll and benefits management, including open enrollment and eligibility tracking. It serves as our primary communication tool, with a community page for announcements and chats with employees. The survey module is another valuable feature, helping us conduct satisfaction surveys.

What do you like about this tool?

I like it is an all in one system and is easy to use. I have used a few other payroll systems and this one is by far the easiest to use.  I also like that there is an app for employees to use. Most of the functions are available through the app and Paylocity is constantly improving the app and system to meet our needs.

I also like that I have one main customer service contact with any issues. There is an email to our dedicated rep and a phone number.  If our rep is unavailable there is a team that can help assist.

Why did your organization buy this tool, and how long have you used it for?

We needed an all-in-one system, and this was the best option. It includes all the tools we required, such as onboarding, recruiting, timecards, schedules, payroll, and benefits. It is user-friendly and easy to use. We have been using it for three years. When I first joined the company, HR and payroll were outsourced, and we used at least two different programs.

Paylocity provided an excellent solution by integrating all the systems we needed into one login. It was also cost-effective since Paylocity charges per employee per month, and we can run as many payrolls as needed without incurring additional charges.

What do you dislike about this tool?

We recently experienced issues with PTO not calculating correctly, which took some time to resolve, requiring manual adjustments for employees. Some onboarding documents are not readily accessible, as they should automatically transfer to the HR and payroll profiles for easy access.

Paylocity is actively working to resolve this issue. We also encountered problems with double-time payments, which removed some regular hours, but this was addressed with Paylocity’s assistance.

How is this tool different than their competitors?

I have used ADP and Paycom in the past. Paylocity stands out by providing a dedicated customer service contact, whereas ADP only offers a general number to call. I also find Paylocity to be more intuitive and easier to use than both ADP and Paycom. Overall, I prefer Paylocity over other systems I’ve used.

What Instructions should people think about when buying this type of tool?

Some key questions to consider include whether the tool will meet most or all of your needs, how long the company has been in business, and whether similar industries use the software. Evaluate its ease of use and affordability to ensure it fits within your budget.

I recommend asking for references from current users to gain insight into their experiences. Watching a demo can also confirm whether the software aligns with your company’s requirements.

How has this tool changed or evolved over time to meet users needs?

Paylocity has introduced new modules, such as the rewards and recognition module, which consolidates anniversaries, birthdays, and employee achievements in one place. The app has also been significantly improved since we started, offering more features and functionality than before.

What specific type of user or organization is this tool very good for?

I think any organization could benefit from using Paylocity. My industry is healthcare, and it works exceptionally well for us. I am part of an HR group where members from industries like manufacturing and professional services also use Paylocity successfully.

I can’t think of any. Having worked in various organizations, I believe Paylocity would be a good fit for all.

Although not made specifically for trucking companies, ADP Run is their simple, fast, and affordable payroll solution for SMBs. It is used by nearly 700,000 organizations.

They strive to make the payroll process effortless, so you have more time to run the other parts of your business. You can do payroll and tax filing in just a few easy steps, pay employees by check, direct deposit, or paycard, and it’s all doable from either the phone, the web, or their mobile app. One thing to note, however, is that they lack trucking-specific features like being able to pay drivers by the mile.

Should you run into any snags with the rest of their offering, ADP has 24/7 customer support from a team of payroll experts. They can also manage health insurance for truckers in all 50 US states. It is also worth mentioning that ADP does have other products for larger businesses, and not just for payroll, so they can certainly grow with you.

Since payroll is processed through ADP we also generate W2s for our full time employees. We process payroll semi-monthly, so we use Gusto at least 24 times a year. Occasionally, I log in to update benefits information, such as 401k contributions. It's convenient to store employee documents digitally, eliminating the need for paper files. Gusto is set up to automatically calculate and deduct 401k contributions, including our 25% match up to the maximum. Additionally, it automatically transfers these funds directly to our provider, so I don't have to worry about making separate payments.

What do you like about this tool?

The interface is user-friendly. Benefits deductions are seamlessly integrated with payroll processing. I appreciate how support tickets are efficiently tracked within Gusto.

Why did your organization buy this tool, and how long have you used it for?

Our small business needed a cost-effective payroll solution, and Gusto provided an affordable option. We've been using it for just under a year to manage payroll for our two employees. We also needed a solution for direct 401k deductions from our payroll, which has allowed us to save on taxes with pre-tax deductions.

What do you dislike about this tool?

I am not pleased that the support team seems to be outsourced outside of the USA, which occasionally makes me question the accuracy of the information provided. Also, I wish I didn't have to use one of their partners to integrate our 401k plan.

Gusto's interface is superior to many competitors with its ease of use and straightforward setup. It intuitively understands my needs without requiring setup in multiple areas to achieve the desired functionality.

I use Quickbooks for monthly invoicing, financial statements, and to keep track of account receivables. We don't currently have it integrated with other softwares, but are thinking about integrating it with our workforce planning software in the future if that is possible. In terms of workflow, I access Quickbooks at least once a week to load new invoices, match receipts, upload receipts from my phone, and download our monthly PnL report. We have a separate system that we put the PnL report in that helps us track our cash flow in a way that accounts for projections.

What do you like about this tool?

It is easy to use - the interface is intuitive. I like the app and the fact I can do receipt tracking on my phone. I like that I can easily give my employees a company card and have them forward receipts into Quickbooks.

Why did your organization buy this tool, and how long have you used it for?

We work with a CPA firm who helped us to integrate Quickbooks across our organization. We began using Quickbooks in 2018, when our firm had just under $60,000 in revenue a year. Today, we use Quickbooks to manage the company's $1.7M and growing annual budget. We used Quickbooks because we wanted to have accurate timely financial statements across the organization, track all of our expenses, and manage our businesses PnL easily. I've been the primary user for the past 5 years.

What do you dislike about this tool?

I wish that it had better cash flow capabilities - the current capabilities do not account for projections. I also wish that when adding users there was an option to add employees who just had employee cards who need to email receipts into Quickbooks instead of having to take up a user seat - right now we have some employees emailing receipts to a company user to forward them on because there is only five seats in our plan. I also wish Quickbooks integrated better with my bank - the bank connection is always breaking and needs to be updated.

How is this tool different than their competitors?

I haven't used similar tools - before Quickbooks I did everything on a spreadsheet. I did choose Quickbooks because it came highly recommended from my CPA firm.

People should think about their needs for financial reporting. People should also think about their needs for billing, and tracking employee expenses.
