Intuit is best known for its accounting suite and payroll solution for small businesses, Quickbooks. In 2018, they acquired Tsheets to include time tracking to the list of services they offer. In addition to time tracking, Quickbooks Time also functions as a scheduling software which helps you manage tasks and employees to get productivity at its best possible level.
Quickbooks excels in scheduling and team management. Administrators can schedule work for their staffers from the schedule section on the dashboard. To schedule shifts, all you need to do is choose the time and day, team member you want to assign it to, and share it when you’re ready. Your team members will be immediately notified of these changes.
Quickbooks ‘Who is Working’
Another interesting feature that can help managers with their scheduling process is the “who is working” window. This lets you see who is working and who is available, which is useful for quickly assigning tasks to those ready to work. Quickbooks Time also syncs with third-party calendar applications such as iCal, Google calendar, and so on. This feature can be used to import events from your calendars and register them as entries on our timesheets.
With Quickbooks TIme, employers and managers do not have to handle every single task or project. They can simply set permissions and add members as workers, managers, admins, or anything in-between. This feature is useful for designation work and creating a structured hierarchy within your organization.
Quickbooks Time Kiosk & Geofencing Features
Perhaps the most standout Quickbooks Time feature is what they call the Time Kiosk. This functions as a traditional time clock where everyone has to clock in and out from. Quickbooks has digitized this concept for businesses that still require something of the sort.
Examples of businesses that would benefit from the implementation of this feature include restaurant businesses, construction businesses, hospitals, and any organization that has a central work location, really.
This time kiosk can be set up on a tablet and mounted at the entrance of your business organization. The manager would have registered the employees of the organization using their biometric information (facial recognition). So a worker would be immediately clocked in when they go to use the central device. Employees are also allowed to set up a four-digit pin as added log in security.
Quickbook’s geofencing feature allows you to build a virtual fence around your job sites. If you are a home services business for example, you will appreciate this feature as Quickbooks Time will automatically clock your employees in when they reach a set job site. Using GPS technology, you can also monitor mobile employees as they are on the go.
Quickbooks Reports & Leave Management
Quickbooks offers three top reports - payroll reports, projects reports, and approval reports. They also provide other reports to give you an overview of how your team tracks time. The payroll report gives you a breakdown of how much time your employees tracked with respect to their hourly rates. This report can be filtered by date ranges and/or team members and exported as CSV and PDF files.
The project reports employs more visualization to display tracked data as pie charts. This report contains information on how much time was spent on each task, how much time your employees dedicated to the project, and so on.
The approval report makes it possible to view detailed information on timesheets that are approved and those that are yet to be approved. Within this report, you can decide to approve the timesheet or send it back to the employee for correction.
Quickbooks Time also allows you to set up and customize your paid and unpaid time-off policies. Employees can request for paid time off from their devices and the admin personnel can approve from their end.

I use QuickBooks Time almost daily to gather data from previous timesheets. One key workflow I rely on is calculating the time required to complete a client project. It also allows me to charge clients accurately for the time I spend on their projects. Since integrating the tool, I’ve been able to include detailed hours on my purchase orders. Finally, QuickBooks Time helps me optimize my time and stay within a client’s budget.

I like how the time-tracking tool integrates seamlessly with other QuickBooks tools, so I don’t need to manually transfer data. It helps me monitor my productivity, allowing me to improve processes and save time on future projects. I also appreciate the ability to generate reports, which help me market myself and build loyalty with clients who don’t use my services as frequently.
As a consultant who charges clients by the hour for most projects, I found myself estimating the time I spent on projects, which led to undercharging clients. Since I was already using QuickBooks to create invoices and track expenses, I discovered that they also offered a time-tracking tool. I purchased QuickBooks Time to help me accurately track the time spent on each client project. I’ve been using the tool for the past four months, which has allowed me to bill clients more accurately. Additionally, using QuickBooks Time has helped me estimate project durations more precisely when quoting clients.
The first downside that comes to mind is the cost of the platform. As a small business, I appreciate QuickBooks’ reputation and reliability, but it’s more expensive than other time-tracking tools on the market. I’ve also experienced issues with syncing between the desktop and mobile app, requiring me to re-enter timesheets manually. Lastly, the interface is a bit cluttered, with too much information displayed at once, making it visually overwhelming. I would prefer a simpler, more streamlined design and further automation of the tool’s functions.
The only other time management software I can compare QuickBooks Time to is Deltek. My previous employer used Deltek, and compared to QuickBooks, it’s not as user-friendly. QuickBooks’ interface is more modern and easier to navigate. It’s also less compartmentalized, with all time-related features readily available. I definitely prefer QuickBooks Time over Deltek because of its ease of use.
The first thing to consider is whether the benefits outweigh the cost. In my case, since I was already using QuickBooks for bookkeeping, it made sense to use their time-tracking tool to integrate all my business data. If you’re comfortable using different platforms for time tracking and bookkeeping, it may be worth exploring other options.
Additionally, consider whether you need a customizable tool or something simpler. If you prefer simplicity, another tool might be better, as QuickBooks Time offers many features that may be unnecessary for some users.
There has been an update to the interface for all QuickBooks tools, making it slightly more user-friendly. I haven’t used it long enough to provide further insight into how the company addresses customer needs.
I believe QuickBooks Time is ideal for small to medium-sized businesses with multiple employees to track. It’s also a great option for existing QuickBooks customers who want to streamline their financial and time-tracking processes in one integrated platform.
QuickBooks Time may not be a good fit for self-employed individuals due to its cost. Additionally, I’m unsure if the tool can effectively support large enterprises with thousands of employees. I also wouldn’t recommend it to users looking for a simple platform, as the additional features may be overwhelming for some.
We use QuickBooks Time to enable onsite and remote employees to clock in and clock out. We also use the GPS and geofencing options to monitor our field employees more accurately. Employees, particularly field workers, use and depend on the mobile app. QuickBooks Time comes with scheduling features that we use as well. The alerts and approval features are effective, serving as good reminders for staff and reducing the number of incomplete or late timesheets.

We were using Excel for timesheets. However, the team of freelancers and employees was growing to nearly 30 people. As a result, it became awkward to manage the numerous files and build reports from the scattered data. There was also a lot of manual labor involved in collecting and collating the information. QuickBooks automated data collection thanks to the web interface and sped up data entry time for users. It also provided standardized reports, which accelerated the analytical and payroll processes.

Big or small organizations are well-suited to QuickBooks Time. It is very flexible but scalable too, thanks to their wider software suite.
We only started using QuickBooks Time after we had about 10 timesheet users who were offsite, as this seemed to be the point where QuickBooks became more efficient than doing it manually in Excel. So, it might be overkill for micro-organizations with fewer than 10 people.
We used QuickBooks for timesheets. We were able to set it up by manager and their team members. This made it very accessible when it came to approving time and submitting payroll. The timesheets are very easy for employees to submit and for managers to approve or send back to correct any incorrect time entries. When setting it up, you can define working hours, shift differentials, overtime, and reminders. You can also set timesheet submission deadlines for employees or contractors.
The cost can't be beaten. While you do pay per user, there are a few different service options you can select, and it is billed monthly. The mobile time tracking capability is great, particularly for contractors with more hands-on roles who don't always have access to a PC. QuickBooks Time is one of the easiest time-tracking/payroll systems on the market.
QuickBooks is one of the easiest time-tracking and payroll systems on the market. Whether it is a small business or a larger company, QuickBooks is beneficial. This system is also great for contractors that you don't necessarily want lumped with all the benefit-eligible employees. I used it for one year for contractors' timesheets and payroll. There are also mobile capabilities for employees and approvers.
There isn't an overabundance of key reports that can be generated. The actual clock-in and clock-out feature isn't the most accurate. It is easiest to log hours worked if permitted by your employer. If needed, the GPS tracking capability isn't accurate or functional.
It is similar to Bullhorn. Bullhorn may have a more complex dashboard and more kinks; QuickBooks is easier to use. I prefer QuickBooks Time based on mobile app capability, ease of use, and cost per month per employee/contractor.
Do you anticipate having a different number of employees or contractors every month? If so, then QuickBooks is great as it is billed monthly per user so this can fluctuate. Do you have a lot of blue-collar contractors who don't spend hours in front of a computer? The mobile app makes recording timesheets very easy for them, and they can set up notifications when timesheet deadlines are due.
You can now share a schedule for your team within QuickBooks Time. For example, if your project isn't a typical Monday-Friday 9-5 job, you can send schedules directly through QuickBooks. If you need later coverage or give days off for teams or individuals during the normal work week, you can manage that easily.
QuickBooks Time is very good for organizations with a lot of contractors, particularly those with high turnover.
If you have a larger company with a team mainly made up of exempt staff, it's best to use the HRIS the company uses if it has payroll capabilities. QuickBooks Time would be an unnecessary additional expense.

Quickbooks Time used to be TSheets, which was founded in 2006 by Matt Rissell and Brandon Zehm. Matt was a businessman selling ink and printer cartridges from his franchised Cartridge World stores.
The idea of creating a time tracking application came to him when he was looking for a way to accurately track the time his employees were clocking in and out but couldn’t find any suitable solutions online. He placed a call to his then friend and software architect, Brandon Zehm, and the two worked together to create a cloud-based time tracking solution for his store.
On the very first payroll after he implemented this solution, his bookkeeper saved up to $2,000 – which they would have lost as a result of time theft. It was then that Matt realized that there could be a way to market the product and get more out of it. Two years later in 2007, Matt sold his store and devoted his time solely to TSheets.
Tsheets grew rapidly due, in part, to their relatively affordable price at the time plus the enormous burden they took off the shoulders of bookkeepers.

Is Quickbooks Time free if you use Quickbooks?
Unfortunately no. They used to offer free basic time tracking if you were subscribed to Quickbooks online (QBO) but they discontinued that feature in 2021. Now you need to subscribe for both QBO and Quickbooks time to be able to use both platforms. Good news is, Quickbooks time natively syncs with QBO.
