I used Greenhouse regularly to manage the full talent acquisition process from start to finish. I created requisitions and routed them for hiring manager approval, confirming that key details such as salary range, department, assigned client, location, and target start date were aligned before roles were posted.

Greenhouse allowed us to post roles once and automatically distribute them to multiple job boards, centralizing all applicants in one place for screening and review.

I customized recruitment workflows to provide hiring managers and candidates with clear visibility into each stage of the process.

The platform’s structured interview kits and stage-specific evaluation questions guided hiring managers and subject matter experts during interviews and supported consistent feedback. Automated reminders prompted interviewers to complete evaluations on time, which helped keep hiring moving forward.

For high-priority or executive roles, we relied heavily on Greenhouse’s shared candidate profiles and consolidated feedback view, allowing decision-makers to compare evaluations and align on final hiring decisions.

Having approvals, communication, feedback, and documentation in one system made Greenhouse the central hub of our talent acquisition process.

Why did your organization buy Greenhouse, and how long have you used it for?

We implemented Greenhouse because we were hiring across multiple global branches for overlapping and diverse roles, and our existing processes made collaboration, candidate tracking, and feedback inconsistent.

We needed a centralized system that could support hiring at scale while allowing teams in different locations to work together efficiently.

Greenhouse allowed us to easily reprofile candidates, endorse them to the appropriate subject matter experts regardless of location, and collect structured feedback from hiring managers and interviewers, including skills test results.

The platform also helped us automate the candidate experience, from application questions and interview scheduling to status updates and job offer management, significantly reducing manual work for recruiters while improving communication with candidates.

Since all activity and feedback were documented in one system, we were able to extract clean, reliable data for quarterly and annual talent acquisition reviews, which helped identify process improvements and recruitment wins.

I was part of the team that implemented our ED&I initiatives, and Greenhouse supported this by allowing us to omit bias-prone details such as age, gender, and graduation dates during early-stage screening. It took time to fine-tune which fields could be removed versus which were non-negotiable, but the flexibility of the platform made it easier to build a more inclusive and consistent hiring process.

  • Reporting and Dashboards – Reporting is powerful, but additional customizable dashboards would make it easier to present insights directly within the ATS without exporting data to Excel or creating separate presentations.

Compared to other ATS tools I have used, Greenhouse stands out due to its usability, flexibility, and balanced structure. Having all activity documented at each stage supports accurate reporting and saves time when pulling data for updates or analysis.

The approval workflow for budgets and offers is particularly effective in larger organizations, as approvers can be assigned directly and the system manages follow-ups automatically.

What Instructions should people think about when buying this type of tool?

Key criteria include the number and complexity of open roles, overall hiring volume, and the size of the recruitment team. Greenhouse works best for organizations with high hiring demand, complex recruitment processes, and multiple recruiters and hiring managers involved.

For smaller teams with simpler hiring needs, a more basic and cost-effective ATS may be a better option. The higher cost of Greenhouse is best justified when roles require customization, multiple approvals, and cross-functional collaboration.

How has Greenhouse changed or evolved over time to meet users needs?

I used Greenhouse for just over a year, and during that time the platform continued to evolve in response to user needs.

One improvement I valued was the introduction of ED&I features that allow teams to hide information that could introduce bias during screening. This supported our internal ED&I initiatives and improved early-stage candidate evaluation.

I used Greenhouse for two years while at the company. I customized the ATS for each job posting to help identify the best-fit candidates. I used the platform daily to review candidates and send interview invitations.

I created scorecards for interviewers to evaluate candidates during interviews. These scorecards ranked candidates based on their qualifications and interview performance. Interview preparation tools and other features are also integrated into the platform.
