SmartRecruiters is a talent acquisition software that helps medium and large-sized companies attract, engage and hire suitable candidates. It features a drag-and-drop career site builder so you can quickly create career pages that showcase your employer brand and list available positions, a built-in CRM that helps you continuously engage candidates, and targeted ads so you can reach specific talent. Like most applicant tracking systems, SmartRecruiters also allows you to post jobs to multiple job boards and build an internal talent pool of promising candidates.

After candidates apply for your positions, SmartRecruiters lets you track the status of their applications from a single dashboard. This dashboard lets you see which candidates have been interviewed, hired, rejected etc. You can also screen candidates through customizable forms, and evaluate their cultural fitness, competence, and more through SmartRecruiters’ built-in assessments and skills tests.

We like that SmartRecruiters has an AI-powered talent matching feature that automatically searches your talent pool, screens promising candidates and recommends the best candidates for your open positions. Another thing we like about the platform is that it allows you to create offer letter templates and share them with successful applicants. Do note however that SmartRecruiters doesn’t have document signing features built-in, but you can still collect candidate e-signatures by integrating SmartRecruiters with third-party solutions like DocuSign.

We used to use it for all of our job postings and applicant tracking. The main functions we used it for were the ATS and job posting functions. The ATS helped us centralize resumes, allowing managers to view and select candidates of interest for their teams.

The job posting function proved to be the most useful, as it helped get the job listing seen by many applicants. The automated screening questions came in handy to rule out some candidates.

What do you like about SmartRecruiters?

SmartRecruiters was available on desktop and phones, which is always helpful. The overall user friendliness was great for employees at any technical level. Reporting was in-depth and helpful when it came to recruiting efforts.

Why did your organization buy SmartRecruiters, and how long have you used it for?

My current organization has been using SmartRecruiters since before I started in 2022. This tool was implemented to help get more resumes for open roles. We are constantly hiring, and SmartRecruiters helped us get our jobs out on many job boards.

I used it from 2022 until roughly 2025. We have just switched to ADP recruiting to integrate all of our recruiting and onboarding processes.

What do you dislike about SmartRecruiters?

The customizability was lacking in some areas. I heard that when they integrated the system, they had some issues initially. Customer support wasn't always the best.

How is SmartRecruiters different than their competitors?

The collaboration between recruiters was a great feature that not all competitors advertised.

What Instructions should people think about when buying this type of tool?

Whether or not recruiters will need to collaborate is a very important thought. Some staffing firms have a certain claim on candidates they have spoken to, so it becomes quite competitive if one recruiter "claims" a candidate.

If applicant tracking isn't up to date or is lacking due to the platform they use, this could cause issues within a team.

How has SmartRecruiters changed or evolved over time to meet users needs?

The use of AI has become very helpful with SmartRecruiters.

SmartRecruiters is best for mid-sized companies. It is especially helpful for teams that need to collaborate on recruiting efforts.

What specific type of user or organization would SmartRecruiters not be a good fit for?

Very small corporations may not mesh well due to pricing. Companies that do not have dedicated recruiters may struggle with SmartRecruiters as well.

SmartRecruiters is utilized for the entire hiring process, from reviewing candidate résumés to marking those HR recommends based on the role. This allows department managers to review candidates as well. Once top candidates are selected, communication for scheduling interviews happens directly within the platform. All communication is in one place.

The company can assign specific access levels to managers. The analytics pages allow the company to view recruiting spend by demographics and track the effectiveness of recruiting procedures.

What do you like about SmartRecruiters?

I appreciate the communication flow it allows between HR, candidates, and managers. There is no need to send multiple emails or manually track conversations. Everything, including candidate communication and scheduling, is centralized. The star rating system helps managers quickly identify strong candidates without having to review too many résumés.

Why did your organization buy SmartRecruiters, and how long have you used it for?

Our company was looking for a way to find candidates, review them, and communicate efficiently. The platform is a full-circle ATS that allows HR to communicate with candidates as well as other team members, including the ability to add notes and ratings.

It helped solve the issue of fragmented communication and manual tracking during the hiring process. The centralized system makes it easier to manage candidate evaluations and streamlines collaboration between HR and hiring managers.

What do you dislike about SmartRecruiters?

Some candidates still apply without relevant experience or skills for the posted position. Candidates may no longer be actively looking for a job, which extends the time it takes to find suitable hires. The platform could benefit from better filtering to reduce unqualified applicants.

SmartRecruiters is competitive with other ATS systems. The UI/UX has a good flow and is easy to understand without unnecessary features. It is user-friendly, with clear screens and an intuitive setup.

With any ATS, it's important to understand your purpose for buying it, what kind of process flow you need, and the level of involvement you want managers to have in hiring.

Features have been added for analytics related to the hiring process, which is a useful addition. These allow you to see where hiring funds are being spent and which sources yield the best results.

Any HR department within a small to mid-sized company would benefit from SmartRecruiters’ ease of use, cost efficiency, and communication features.

Larger organizations with many departments may find the platform lacking for their needs. If a full-service HRIS platform is required, using SmartRecruiters as an add-on may not be worth the time or effort.

We used SmartRecruiters to post all positions within the organization. It was used to manage the end-to-end recruiting lifecycle. We leveraged the site to support communication with candidates and hiring managers.

We were also able to capture interview feedback and additional notes. We tracked metrics such as time to fill, source of hire, and other details on candidates and new hires.

What do you like about SmartRecruiters?

It was highly effective for what we needed. It was very cost-effective for the organization. It helped us maintain compliance in recruitment and hiring. It enabled collaboration with hiring managers and interviewers, along with capturing notes on candidates and interviews.

Why did your organization buy SmartRecruiters, and how long have you used it for?

We needed a very affordable option to post positions, track applicants, and monitor open and closed positions. The company had a very tight budget, so knowing that there was a free option for recruitment was extremely enticing. We used this system for about 1.5 years before my contract ended with this employer.

SmartRecruiters was extremely collaborative and user-friendly. The site allowed for improved communication between hiring managers and recruiters, resulting in a more efficient and inclusive recruitment process.

What do you dislike about SmartRecruiters?

While the site was effective for our needs, it had limited system capabilities compared to competitors. The reporting feature was very limited and lacked customization options. Workflow automation is limited compared to other ATS platforms. It works better when fewer positions are posted, rather than managing a high volume.

How is SmartRecruiters different than their competitors?

SmartRecruiters stands out from competitors due to its user-friendly interface, which makes it easy for recruiters and hiring managers to collaborate in real-time. If the budget is low, the cost doesn’t have to be a barrier. The free version worked well for our organization. It integrates well with other sites, allowing greater flexibility across HR functions.

Overall, it was faster and simpler to implement. The turnaround time for setup and implementation was quick and highly beneficial.

People should consider the average number of positions typically posted. They should also assess the expected number of hires for the year. It's important to evaluate the organization’s needs regarding recruitment, such as reporting, workflow, number of users, onboarding features, and more. Budget should be a key consideration.

SmartRecruiters has improved its customer interface. It has enhanced the ability to edit and update job postings. There are now more onboarding tools available.

In my opinion, SmartRecruiters is well-suited for small to mid-sized companies. It can support organizations with several hiring managers or teams that include site recruiters rather than just one.
