Let’s begin with its full-service payroll capabilities. Gusto supports payroll for U.S.-based W-2 employees and domestic and international contractors. This flexibility makes it a versatile solution for businesses with diverse staffing needs.

Our editors (and accountants) also love that Gusto provides e-signature collecting and automated tax filing because of its ease of use and usefulness in simplifying essential administrative tasks.

Flexibility is another strength of Gusto. The software offers an automatic deductions feature, varied payroll schedules, and unlimited pay runs so businesses can ensure employees receive their salaries and benefits promptly.

Transparency is a key aspect of Gusto's pricing. The payroll software does not require long-term contracts or setup fees, allowing SMBs to manage their payroll efficiently without any unexpected costs.

But you may notice we didn’t mention payroll for global employees earlier. It’s because it isn’t available in Gusto’s current offerings.

Another feature Gusto lacks is built-in accounting, meaning you must use third-party integrations for complete financial management.

While the Simple plan is cost-friendly, it lacks essential features like native time tracking and e-sign. To access these features, thus, you, again, will have to integrate third-party tools with Gusto — more money spent.

Lastly, compliance alerts and broker integration are terrific features, but the platform requires you to either opt for its Premium plan or pay extra to use them.

I use Gusto approximately every day. Some key workflows are onboarding users (employees) and storing important demographic information and compensation information, paying users (we used to pay employees on the platform, now it's just contractors), and staying in payroll compliance - Gusto gives you a to-do section that shows you all of the things you need to do to stay in compliance.

What do you like about this tool?

It's very intuitive, the UX/UI and design features are really amazing. It's also very well liked by our employees because of its ease of use. It's built to keep small companies in compliance -- Gusto really takes it a step further than most other Payroll platforms and gives you a bunch of compliance features and help. Gusto also has "next-day pay" features on some of the more premium tiers of membership; this is a really solid SLA and turnaround for payroll platforms, as this process (sending money to folks) isn't the easiest thing to do at scale.

Why did your organization buy this tool, and how long have you used it for?

We onboarded onto Gusto when the company first started back in 2016/2017. We didn't have a way to pay people, and Gusto offered an intuitive, small-business solution to pay employees, help us stay in compliance, and do all the heavy lifting for us in the Payroll and HR world. We've used Gusto for approximately 6 years and we still use it today to pay contractors, which is another benefit it provides.

What do you dislike about this tool?

Gusto is built for small companies so if your company grows quickly, it could easily outpace the features that Gusto provides. It doesn't integrate well/if at all with other softwares it doesn't already have a partnership with. It also has pretty limited reporting capabilities; the reports you can pull are nice, but there are limited types that you can choose from and building reports doesn't include all fields you might need.

How is this tool different than their competitors?

It’s more intuitive, but not as scalable for large companies. I'd prefer the more intuitive tools to start with, and then once I wrap my head around how payroll works then I think switching to a larger, more scalable tool helps with understanding the big picture.

What Instructions should people think about when buying this type of tool?

If you have a small finance/payroll/HR team, and want a tool to do a lot of the work for you, get Gusto. If you're a large team with a large company, I wouldn't recommend it.

How has this tool changed or evolved over time to meet users needs?

For the most part, it's really improved its contractor payment system and also its compliance features. It still needs to work on allowing for more integrations with third-party tools.

I use Paychex weekly. Primarily I input my employees' time, submit payroll and check taxes. About once per quarter I review all of the reports they provide on my company's history. Previously I used their third party retirement provider when I had an employee paying into retirement. When the employee found permanent employment elsewhere, I canceled the retirement service.

What do you like about this tool?

Paychex is cost effective for my business. Customer service is always timely and helpful. Fees are clearly explained.

Why did your organization buy this tool, and how long have you used it for?

My organization is a human resource support company. I hire people to assist with various responsibilities and needed a payroll provider that also handled tax reporting. Paychex is low cost and their customer service has been excellent. I am into my 2nd year using Paychex and so far don't plan to change providers. My clients use other payroll processors and other than a few differences in fees, I can't say one is better than the other. Paychex also asks for feedback regularly and I noticed they often implement that feedback, which is comforting.

What do you dislike about this tool?

I dislike that if I don't process payroll for a couple of weeks I am charged a minimum fee and if I process payroll late instead of moving the pay date back a day or so they charge a rush fee.

How is this tool different than their competitors?

Several other providers have complicated customer service processes and it takes a while to get someone to assist. Paycheck replies quickly using their email and phone services.

What Instructions should people think about when buying this type of tool?

People should think about how many employees they have. Paychex isn't the best for larger companies. Also, think about what you can afford. Finally, consider user friendliness. I was able to quickly learn this system without guidance from a customer service rep. Although, I think Paychex offers reps to assist and conduct walkthroughs/demos if necessary. Paychex does not have a large training database as some other providers have.

How has this tool changed or evolved over time to meet users needs?

When they request feedback, I often see changes implemented after that.

For instance, Zenefits does not offer a standalone ACA module. Therefore, you will need to purchase an entire HRIS plan if you want to access that offering.
  • In addition, Zenefits focuses on small to mid sized companies. If you're an enterprise organization, you may want to consider another option. 
  • Zenefits is also rather focused on the US market at this point. So, if your team is mostly in another country and you need more of a local know-how, it might not be the best bet for certain modules like payroll and benefits.

Zenefits Review

Zenefits offer a host of solutions, ranging from onboarding to benefits, payroll, performance, and offboarding, at a transparent and scalable pricing structure. Plus, Zenefits offers a free trial and doesn't charge for the tool's setup, making it more approachable than some other HR tools in the market.

Zenefits offers a gorgeous user interface. The mobile app is also well-designed, with built-in features for self-onboarding, time tracking, org charts, and payroll. Zenefits’ payroll is also pretty cool. It lets businesses pay full-time workers, independent contractors, and freelancers in a single platform.

The automated workflow is a nice touch that sets Zenefits apart from several HR solutions. It’s simple to set up but can lend HR leaders a good hand in automating workflows for key employee events like career advancements, birthdays, and job anniversaries.

However, there are a few things you should watch out for before purchasing Zenefits. First, the payroll feature isn’t included in any of Zenefits' plans but offered as an add-on. In other words, you need to pay extra to use the payroll tool. Second, Zenefits' customer service is noted to be slow in responses. Since there isn’t any support via phone or a dedicated person, it can be difficult to get help promptly. Lastly, Zenefits is tailored to the US-based SMBs, so the software won’t be that helpful if your hires are in other countries.

I use Zenefits for HRIS, payroll, benefits, PTO, time tracking and handbook creation and updates. We are currently using Zenefits on a daily basis as it is easy to process off-cycle payroll runs. The extensive library of resources available on a wide range of topics helps in finding a clear answer on whatever issue you may have. Complex issues are easily resolved via email. Communication with support is clear, concise and thorough.

What do you like about this tool?

It makes managing benefits, HR documents, and time off requests so easy! I love having a simple tool to manage all things important in one place. Whether its from my desktop or the mobile app, I can access everything I need. Leveraging Zenefits for all of our HR records helps us streamline and reduce paperwork, while making things accessible in one place for all administrators and managers, and limiting sensitive personal information to only HR personnel. Employees can easily update their direct deposit information, taxes, address via self-service through the mobile app.

Why did your organization buy this tool, and how long have you used it for?

My organization had grown substantially and had no HRIS, payroll or benefits platform in place; prior to this growth, everything had been done manually. Selecting Zenefits was an easy choice due to pricing, ease-of-training employees and ongoing support. We utilized Zenefits for two years for its payroll, core HR functions, time tracking, benefits and PTO functionality. Its valuable insights and attractive pricing make it a great choice for smaller businesses.

What do you dislike about this tool?

Zenefits cannot appropriately cap 401k contributions resulting in overcontributions for many employees. Some integrations are challenged/non-existent and require uploads and data feeds. There is no dedicated account manager. Tax notifications can be difficult to get answered, often taking several weeks or months after submission. For several weeks, Zenefits was sending HR-related alerts to my personal email.

How is this tool different than their competitors?

I prefer Zenefits as an interim in-house solution for establishing in-house frameworks. It is ideal for small organizations with uncomplicated HR needs. Zenefits provides the necessary core functions and versatility required for a growing organization at a reasonable price and satisfactory customer service. Where more complex matters are concerned, I believe Zenefits struggles with viability.

What Instructions should people think about when buying this type of tool?

Zenefits is perfect for smaller organizations with uncomplicated needs and limited budgets. Possible integrations should always be considered; the absence of ability to integrate can be a tremendous burden on time, reducing ROI. It is also critical to consider the expertise of HR employees where HR technology is concerned, as well as any training and support needs as these are critical to the internal success or failure of any platform.

Zenefits is good for small organizations with less than 50 employees, either locally or nationally.

I use Quickbooks for monthly invoicing, financial statements, and to keep track of account receivables. We don't currently have it integrated with other softwares, but are thinking about integrating it with our workforce planning software in the future if that is possible. In terms of workflow, I access Quickbooks at least once a week to load new invoices, match receipts, upload receipts from my phone, and download our monthly PnL report. We have a separate system that we put the PnL report in that helps us track our cash flow in a way that accounts for projections.

What do you like about this tool?

It is easy to use - the interface is intuitive. I like the app and the fact I can do receipt tracking on my phone. I like that I can easily give my employees a company card and have them forward receipts into Quickbooks.

Why did your organization buy this tool, and how long have you used it for?

We work with a CPA firm who helped us to integrate Quickbooks across our organization. We began using Quickbooks in 2018, when our firm had just under $60,000 in revenue a year. Today, we use Quickbooks to manage the company's $1.7M and growing annual budget. We used Quickbooks because we wanted to have accurate timely financial statements across the organization, track all of our expenses, and manage our businesses PnL easily. I've been the primary user for the past 5 years.

What do you dislike about this tool?

I wish that it had better cash flow capabilities - the current capabilities do not account for projections. I also wish that when adding users there was an option to add employees who just had employee cards who need to email receipts into Quickbooks instead of having to take up a user seat - right now we have some employees emailing receipts to a company user to forward them on because there is only five seats in our plan. I also wish Quickbooks integrated better with my bank - the bank connection is always breaking and needs to be updated.

How is this tool different than their competitors?

I haven't used similar tools - before Quickbooks I did everything on a spreadsheet. I did choose Quickbooks because it came highly recommended from my CPA firm.

People should think about their needs for financial reporting. People should also think about their needs for billing, and tracking employee expenses.

How has this tool changed or evolved over time to meet users needs?
What specific type of user or organization is this tool very good for?

It works great for my consulting firm!

I think it will work for most people, but I can see it being a challenge for people who have always tracked receipts and expenses manually to shift.

I use remote.com to hire contractors in multiple countries for our company. Once we find a candidate we want to hire, we send an offer letter and start the onboarding process in remote.com. Employees create their invoices at the end of the month and we complete payment through remote.com immediately.

Why did your organization buy this tool, and how long have you used it for?

As a small organization we were looking to hire many contractors in various countries. Remote.com is extremely easy to use and makes hiring internationally simple. I have been using Remote.com since March 2023.

What do you dislike about this tool?
  • Customer service was not helpful and very rude. I had to get a manager involved.
  • The system is not very robust. It really is just a payment and time tracking services system, any organization would need an employee performance management system.
  • The integrations are underdeveloped and could be improved.
How is this tool different than their competitors?

This is the first contractor tool that I have used, and I am very impressed. Remote.com does everything we need so I do not see us needing to switch to a different product.

What Instructions should people think about when buying this type of tool?

I think people should assess what countries they need to hire contractors in, and make sure that remote.com is able to hire in those countries. Furthermore the cost of remote.com is pretty reasonable for the price that it costs.

How has this tool changed or evolved over time to meet users needs?

I have not really seen a difference since I have been using it since March 2023. I will say that the reporting is great and I am always happy to improve my process while using it.

We use Square for mobile sales. It allows us to avoid a hodgepodge of Venmo and PayPal transactions going through multiple workers. We use it a few times a month when we run large events and sell concessions. It's made the sales transactions much easier for customers. And it's also allowed us better control over our budget.

It's very convenient to use on the go. We don't have to pay a monthly fee - we just pay a percentage of transactions. Customers like having this option instead of using cash.

Why did your organization buy this tool, and how long have you used it for?

My organization bought Square for mobile sales transactions. It's a small operation, and we had been operating cash only, but a lot of customers didn't have cash. We tried using other online payment services, but they were going through organization volunteers instead of directly to the organization. This made it difficult to manage the budget and track down payments.

What do you dislike about this tool?

We are a very small non-profit operation so the transaction charges can add up. I don't like that we have to pay more if we have to manually enter a payment card number.

How is this tool different than their competitors?

I can only compare this to using Venmo, PayPal, and Zelle and Square is much easier for us to use. Customers don't need to have a pre-existing account - they can just use their credit or debit card. It makes things much easier.

Consider whether this would be easier to use than cash or cash apps. Also consider the transaction fees. They can add up when you are a small business and/or nonprofit.

I think they are always trying to be more user-friendly and accessible. It's nice to have a pricing model where we don't have to pay a monthly or annual fee.
