We like that SmartRecruiters has an AI-powered talent matching feature that automatically searches your talent pool, screens promising candidates and recommends the best candidates for your open positions. Another thing we like about the platform is that it allows you to create offer letter templates and share them with successful applicants. Do note however that SmartRecruiters doesn’t have document signing features built-in, but you can still collect candidate e-signatures by integrating SmartRecruiters with third-party solutions like DocuSign.

I used this tool heavily for full-cycle recruitment, including tracking 45 openings on a regular basis. I relied on it to manage employee records and HR data, such as turnover, for transfer to ADP.
I frequently used the reporting workflows to pull specific reports for leadership as the company grew and acquired new locations.
I also leveraged it for basic documentation workflows and interview questions, such as storing signed forms and tracking key dates and eligibility across our expanding workforce.

I used this tool for a couple of years at a knife sharpening company that was rapidly growing, from about 200 employees when I joined to roughly 450 employees by the time I left.
The main pain points we wanted to solve were inconsistent time tracking for route drivers, manual payroll processes, and the difficulty of managing HR and compliance as we added new locations and acquired other businesses.
We needed a solution that could scale with growth, support a distributed workforce, and reduce the risk of errors that come with spreadsheets and disconnected systems. The key benefits this tool provided were more streamlined and accurate payroll, better visibility into employee hours and staffing, and centralized HR data that made reporting and compliance much easier.
I used it for about two years during that period, and it became a core part of my daily workflow for managing payroll, employee records, and supporting the company through rapid expansion.

Consider whether it integrates well with your other tools like HRIS, background checks, and job boards. Make sure it can handle your hiring volume and workflows, and ask for references from similar companies to confirm it works well in practice.

SmartRecruiters is good for large companies with high turnover or seasonal hiring. Organizations with multiple managers involved in the recruiting process that need shared tools, and HR teams that can build out templates and lead training.
SmartRecruiters is not good for small companies with little turnover. Professional organizations like law firms and CPA firms.
We use it to post jobs. The system allows jobs to be automatically posted to platforms like ZipRecruiter, Indeed, and LinkedIn. We use it to move applicants from stage to stage in the hiring process.
We use it as a centralized place where the hiring team can share feedback through notes. The hiring team likes the ability to rate applicants and review resumes as they come in. We use it to bulk message candidates.
We use the tool whenever we have an open role, which varies, but typically we fill about five roles per year.
I like that it provides a structured system, instead of an Excel spreadsheet, to organize and move candidates through the hiring process. I like that it gives the team a place to add notes and upload PDFs to a candidate profile. I like that it has the ability to bulk message candidates.
We needed a system to organize our applicants. We do not hire frequently, at most five people per year, so we did not need an extensive system. I have used it for a little over a year.
The key benefit is that it provides a structured way to organize applicants and a centralized location for hiring teams to collaborate.
However, my experience with the system has been negative, and I would not recommend it to others. Primarily, this is because its UI looks like a legacy system and its customer service is essentially nonexistent.
I really dislike the customer service. I needed to reach them at one point and was unable to contact anyone, and my voicemail was never returned, so I had to resolve the issue on my own. I do not like how the system looks; it resembles a legacy system.
The system could be better organized to make it easier to use, as it was sometimes difficult to find certain features.
It is different, but in a negative way. I do not like SmartRecruiters and would not recommend it. There are better systems available that offer stronger customer service, a more modern interface, and greater ease of use.
People should consider price, as this system costs less than many others on the market. They should think about how comfortable they are using applicant tracking systems. If users are very comfortable figuring things out on their own, limited customer service may not be a major issue.
I do not think it has changed significantly. I do not think the customer service has improved at all.
It is best suited for small organizations with limited hiring needs. If an organization makes more than ten hires per year, this system would be very difficult to manage. It may appeal to organizations that are cost-conscious, as it appears to cost less than many other systems.
It is not a good fit for organizations that hire frequently, such as those making ten or more hires per year. It is not well-suited for organizations that are modern or are moving away from legacy systems. SmartRecruiters is not as modern as tools like Teamtailor or Greenhouse.
We implemented SmartRecruiters for a small company, and it was used by two full-time recruiters. The platform was primarily used to track candidate applications for open requisitions. It automatically posted jobs to multiple free job boards, which expanded visibility without added cost.
