- Users have reported a steep learning curve and that the UI takes time to get used to. Some users have also reported that the system can be slow and glitches at times.
- The reporting feature doesn’t always retrieve data accurately. Some users have also complained that report customizations and KPI tracking capabilities are limited.
- Candidate filtering is quite limited. As it stands, only basic options such as degree, location, gender etc are provided.

SmartRecruiters is a talent acquisition software that helps medium and large-sized companies attract, engage and hire suitable candidates. It features a drag-and-drop career site builder so you can quickly create career pages that showcase your employer brand and list available positions, a built-in CRM that helps you continuously engage candidates, and targeted ads so you can reach specific talent. Like most applicant tracking systems, SmartRecruiters also allows you to post jobs to multiple job boards and build an internal talent pool of promising candidates.
After candidates apply for your positions, SmartRecruiters lets you track the status of their applications from a single dashboard. This dashboard lets you see which candidates have been interviewed, hired, rejected etc. You can also screen candidates through customizable forms, and evaluate their cultural fitness, competence, and more through SmartRecruiters’ built-in assessments and skills tests.
We like that SmartRecruiters has an AI-powered talent matching feature that automatically searches your talent pool, screens promising candidates and recommends the best candidates for your open positions. Another thing we like about the platform is that it allows you to create offer letter templates and share them with successful applicants. Do note however that SmartRecruiters doesn’t have document signing features built-in, but you can still collect candidate e-signatures by integrating SmartRecruiters with third-party solutions like DocuSign.

I use SmartRecruiters on a daily basis. It is my go-to resource for recruiting and candidate experience. The key workflows it addresses for me are the approval process for a requisition, advertising the JD, shortlisting, and, even better, Hiring Managers reviewing resumes right in the tool.
No more downloading resumes to share with HM and saving them in external folders. I am able to share the profiles per role with the HM, and they are able to view the profile and resume and provide feedback. All correspondence, even scheduling of screenings and interviews, happens in the tool. Saves my team and me hours upon hours and reduces error 100%.
- SmartRecruiters is very user-friendly and organized.
- The tool is intuitive to use, not a lot of learning required.
- The workflow of the tool is spot on and represents what I am trying to achieve.
- The tool is so organized that I feel confident having this process stand up in a recruitment audit.
We bought SmartRecruiters for the full service it offers. We wanted a tool that could capture the entire recruitment process, serve as a resource for audits of HR, and provide a better candidate experience.
SmartRecruiters does all that and more. It is extremely user-friendly. It also assisted us in changing the culture of our organization towards recruitment, seeing it now as a partner and not an afterthought. SmartRecruiters offers excellent training resources as well to address this transition.
- If I could improve some things of Smart Recruiters, it would be the reporting, the visuals of the report, and the flexibility of the reporting.
- This tool worked so well for us also because we took the time to set it up, use it, etc. I wish more companies that have the tool take the time to do that, yet at the same time, SR could provide more templates to ease the setup.
- SR is hands down better than the others, as it is the easiest tool I have ever used, and I have used many.
- The tool is user-friendly for those who are not recruiters, but hiring managers or panelists.
- A new person can use the tool with very little training.
- It is not cumbersome like other tools.
The criteria I would consider when buying this type of tool are: how easy is it to set up? Meaning, how easy is it to set up all the internal systems so that one can put the entire tool to work?
Can it be used as a communication tool? This is a deal breaker for me. Setting up the tool as a communication tool puts all correspondence in one place and allows for flawless audits.
How can you integrate the broader company and hiring managers in the process?
The best tool is one that the company can truly embrace and not develop parallel systems around it.
The integration of AI options has been the best integration they could have added. It gives the user another set of eyes to review and shortlist candidates, ensure compliance, and communicate.
Any type of organization with, I'd say, at least 25 hires a year, multiple teams, and a need for compliance. SmartRecruiters is not best nor required for a smaller organization with minimal turnover.
SmartRecruiters would not be required for a small organization, say with 25 or fewer hires per year, little turnover, and that wouldn't be willing to change their culture to integrate the tool fully.
As an ATS solution to post, compile, review, and track candidates. I use it for reporting out time to fill, critical needs, and status updates in real-time. I use the data to understand where we are getting our most candidates, which postings are performing better than others, and keep the pipeline of candidates open.
I was able to pass off the administrative access to the operations manager who wasn't technology-savvy, and even he was able to navigate it without issue. It solved the manual process that the client had before using the platform.
It eliminates the manual, administrative process of posting for positions. As the company grows, it becomes time-intensive to hire multiple positions at the same time. SmartRecruiters is a platform that enables me to work smarter, not harder.
As a consultant, you know that you are there for a limited engagement and that the solutions that you find will need to be transferred to clients. That means that the software and the solution need to be easy to navigate and understand, which SR was.
I've worked with SmartRecruiters for years and have never had an issue with passing it off to the client.
I have used SmartRecruiters off and on for the past 10 years as an ATS solution for small and medium-sized businesses (both professionally and as a consultant). Most recently, I worked with a client who was receiving resumes manually, posting on job boards individually, and tracking in an Excel spreadsheet.
The company was growing and it was a bit of an unnecessary administrative burden. When I came on board, I immediately recognized the need for a platform, but they thought it was out of their reach. We reviewed a variety of vendors and settled on SmartRecruiters for their ATS solution.
It doesn't make financial sense for smaller clients. I would like to see a more basic platform that is available for those types of clients, so they can still benefit from the platform, but on a budget.
There are also some integration limitations which I would like to see more of. They integrate with the major players, but not so much the newer, smaller HRIS. I'd like a bit more customization and branding capabilities.
It is pricier than other platforms (think $10k+). It has been in the field for a long time and you benefit from that type of market knowledge. They have the tools and processes that they have learned from over the years which other competitors may not have.
I prefer SmartRecruiters for larger companies, just not so much for smaller and mid-sized businesses due to cost.
Your budget! It is an enterprise system, so you need to make sure it is within your budget. You need to understand your hiring volume and take that into consideration. If you aren't hiring that much, is it worth the spend?
SmartRecruiters has gotten better. I've used SmartRecruiters for a variety of clients and they take your feedback seriously. I've seen the platform grow and evolve.
SmartRecruiters is better for larger, more enterprise-level organizations.
SmartRecruiters may be too expensive for small and medium-sized businesses (especially those with a low volume of positions).
I used this tool heavily for full-cycle recruitment, including tracking 45 openings on a regular basis. I relied on it to manage employee records and HR data, such as turnover, for transfer to ADP.
I frequently used the reporting workflows to pull specific reports for leadership as the company grew and acquired new locations.
I also leveraged it for basic documentation workflows and interview questions, such as storing signed forms and tracking key dates and eligibility across our expanding workforce.
- SmartRecruiters helps you keep all your candidates in one place and move them through the hiring steps faster.
- It lets you post jobs to many job boards at once so you get more people applying.
- It gives your team a simple way to share feedback and see basic reports so everyone stays on the same page.
I used this tool for a couple of years at a knife sharpening company that was rapidly growing, from about 200 employees when I joined to roughly 450 employees by the time I left.
The main pain points we wanted to solve were inconsistent time tracking for route drivers, manual payroll processes, and the difficulty of managing HR and compliance as we added new locations and acquired other businesses.
We needed a solution that could scale with growth, support a distributed workforce, and reduce the risk of errors that come with spreadsheets and disconnected systems. The key benefits this tool provided were more streamlined and accurate payroll, better visibility into employee hours and staffing, and centralized HR data that made reporting and compliance much easier.
I used it for about two years during that period, and it became a core part of my daily workflow for managing payroll, employee records, and supporting the company through rapid expansion.
- It can be expensive, especially for smaller teams or agencies just starting out.
- It can feel confusing at first, and it may take time to learn and set up the way you want.
- You often need to contact their sales or support team to make changes or get help, which can slow you down.
There are many of these systems available. Many today integrate with most HRIS platforms, and familiarity with those integrations reduces the need for additional training, which is a significant advantage.
Look at the total cost, including license, setup, and add-ons, as well as how easy it is for recruiters and hiring managers to use. Consider whether it integrates well with your other tools like HRIS, background checks, and job boards. Make sure it can handle your hiring volume and workflows, and ask for references from similar companies to confirm it works well in practice.
SmartRecruiters keeps up with technology changes and updates its platform integrations, as well as customer service, using AI.
SmartRecruiters is good for large companies with high turnover or seasonal hiring. Organizations with multiple managers involved in the recruiting process that need shared tools, and HR teams that can build out templates and lead training.
SmartRecruiters is not good for small companies with little turnover. Professional organizations like law firms and CPA firms.
