The onboarding tool within Greenhouse is very helpful for managing the process from beginning to end. I have found that it supports efficiency for both recruiters and hiring managers. Greenhouse is an applicant tracking system (ATS). It allowed the business I worked with to track and store candidates for various positions. We were able to message candidates and structure the application process. The system also provided extensive data tracking throughout the recruiting process. While I understand that Greenhouse includes onboarding features, I did not use that functionality.

I use Greenhouse daily for recruiting tasks. It helps streamline the hiring process by integrating with LinkedIn and centralizing key workflows such as job postings, applicant reviews, and interview scheduling.

We were changing the way we managed our recruiting process. In Talent Acquisition, I worked with Greenhouse on a daily basis to ensure our recruiting campaigns ran smoothly.

My main interaction with Greenhouse is creating and posting job opportunities, creating detailed job descriptions, and optimizing them for different job boards. I also used the platform to track incoming applications, review candidate profiles, and work with hiring managers to evaluate and develop candidates through the selection process.

Another important aspect of my workflow involved scheduling and coordinating teams and interviews within Greenhouse. Not only did this save a lot of time, but it also helped maintain clear communication between interviewers, candidates, and stakeholders. In addition, the platform's interview feedback and scoring features helped me pool the opinions of different team members and accurately assess a candidate's suitability.

Every company is different, but we typically approve the headcount outside of Greenhouse with finance and then use the greenhouse approval system to check that everything is correct before posting. From there, we use it as our central hub to post jobs, most are auto-linked to job boards, but I like that we can create custom links for unique situations like sharing a posting to a specialty board. From there, we can handle all resume reviews, scheduling and conducting interviews, offer approvals, and offer letter creation and sending. What is nice is Greenhouse integrates with our HRIS, so once an offer is accepted, we can export the candidate data directly to the HRIS.

What do you like about this tool?

Greenhouse is very customizable; I like that we can adjust our rejection reasons, scorecards, email templates, etc. I appreciate that it is very self-contained, meaning with the right integrations, you can pretty much do everything from within Greenhouse itself; you don't need to switch from different apps much. I also like their support; they have a robust self-help and self-guided support platform and very quick and helpful live support.

Why did your organization buy this tool, and how long have you used it for?

We had previously been using another ATS that did not allow for much customization of stages, rejection reasons, scorecards, etc. and did not have very robust reporting features. I like that Greenhouse has lots of integration partners, full customization options, and great pre-made reports with custom reporting options. I have been using it for over 5 years and have to say it is my favorite ATS.

What do you dislike about this tool?

There is not a lot I don't like about Greenhouse; I think it's a great ATS. One area I do prefer about some other ATS is the resume disposition flow; with Greenhouse, there is a pop-up every time you want to disposition a resume, and you have to select the reason every time from a dropdown, with some others, you can choose a reason for the first person and from there it just saves and stays the say unless you change it. While they do have a lot of integration partners, you are somewhat limited as well, for example with signatures, you only really have Docusign as a natural integration, so if you use anyone else then you are going to have to do offer letters manually outside the system.

How is this tool different than their competitors?

Greenhouse is much more customizable. Some competitors don't allow you to make custom reports, custom rejection reasons, custom interview flows, custom approvals, etc. So for that reason, I much prefer Greenhouse whenever I enter a new Greenhouse environment. At the same time, it looks similar; it is entirely bespoke to the needs of that individual company.

What Instructions should people think about when buying this type of tool?

Do you need an ATS yet? It is expensive, so I would consider how much hiring you are doing. Who will manage this and implement it? The implementation can be lengthy and requires a significant time investment; even afterward, you will need someone internally to work the system. Otherwise, it will quickly lose all order. Do I need all these features and customizations? If you don't, going for a cheaper alternative may make sense.

How has this tool changed or evolved over time to meet users needs?

They have added a nice self-scheduling feature; it replaces the need to integrate Calendly for interviews. They often send feedback requests and surveys, so it is nice to know they always look for ways to improve. They send newsletters out to update any changes.

What specific type of user or organization is this tool very good for?

Someone who wants a customizable ATS with lots of features. You likely need to be rather comfortable with using different software to be comfortable in Greenhouse, it can be easy to be overwhelmed with the amount of things you can do with it.

If you do not have any dedicated recruiters or if you don't need lots of features or customization, then you likely don't need Greenhouse.

Greenhouse is primarily used as an applicant tracking system so that is exactly how I've used it. Several key workflows I've used it for are:

- Retrieving recruiting data

- Gathering feedback from interviews

- Getting candidates scheduled

- Sending and receiving offer letters

  2. Structured interviewing so that interviewers know exactly what questions to ask the candidates and what is important
  3. Amazing customer support team that is able to answer any question you have

  6. For out of the box scheduling functionality, it is better than most and easy to train people on
Why did your organization buy this tool, and how long have you used it for?

I've used Greenhouse for 3+ years and have enjoyed it tremendously. I'm answering the following based on my experience with Greenhouse at three different companies and helping several others build and configure their GH instances.

Greenhouse is a top-notch ATS for not only candidates but recruiting teams as well. It addresses many of the top pain points in the recruiting process that everyone complains about like a poor application process, difficult-to-understand scorecards, and terrible customer support. Additionally Greenhouse contributes immense thought leadership and helpful webinars across a broad swath of topics.

What do you dislike about this tool?
  1. The reporting functionality, while good, isn't as good as it could be. To be effective, you either need to use an integration partner (like TalentWall, Eqtble, Ashby, Gem) or build your own tools (either using the Report Builder for Google Sheets or something more complex like Looker/Tableau). Reports are held by the user so you aren't able to share and make changes on someone else's report (which requires you to rebuild it)
  2. Lack of headcount planning functionality or a portal. There is a struggle between when to use job openings and how to get their data
  3. Admins can't configure certain aspects of users accounts in advance/ users are required to connect their own integrations
  4. Lack of shared/connected interview plans concept so if you make a change in one plan and you need that change to be carried across to other roles, you have to manually do it.
How is this tool different than their competitors?

Greenhouse is one of the best ATSs on the market. Even for the complaints people have about it (e.g., lack of automated scheduling, reporting being difficult), it is still one of the best for applying to an open role as a candidate, conducting interviews as an interviewer, and getting the support you need to fix back end and process issues as an admin. Plenty of other ATSs claim they do what Greenhouse does but they over promise and poorly deliver on the same experience (or just flat out try to copy and fail).

- When do customers typically outgrow you, and where do they go next?

- Can I see a demo focused solely on integrations with our major existing systems (HRIS, Calendar, Email, Zoom, etc.)?

- How long will data migration take and what data will be lost?

- What supplemental tools will likely be required should we implement?

Greenhouse has continuously innovated to meet the needs of its users. They were one of the first to implement pronouns so that candidates could self-identify. They have continuously changed their reporting to make it more user-friendly and serviceable. The changes might not be immediate but when they make a change it never feels rushed or buggy.

I primarily use Greenhouse to hire for tech/engineering positions. I find that its system is user-friendly. I am able to quickly find key statistics for stakeholders upon request. I enjoy the platform's talent outreach capabilities as I am able to track/trace outreach pre and post-hire. Greenhouse also allows me to communicate effectively with candidates without the need for extra messaging.

Greenhouse was introduced to me in 2014 as an affordable startup option to compete with larger (HRIS) software. I have used and implemented this software with several clients over the years. Greenhouse has been especially effective in streamlining recruitment processes and training for new HR hires as its system has grown increasingly user-friendly. I have noticed a trend among my clients that companies that search for data-driven talent have an easier time using Greenhouse.

What do you dislike about this tool?
  • I have occasionally experienced issues with bulk imports.
  • Greenhouse sometimes does not pick up keywords.
  • It takes time to understand the system.
How is this tool different than their competitors?

Greenhouse has been a consistent and affordable option in comparison to ADP or Trinet. I enjoy the Greenhouse interface more overall.

Some applications are pulled from Indeed, Monster etc. Other applications would be pulled from LinkedIn Recruiter to Greenhouse. I would primarily source candidates from LinkedIn Recruiter and move them to Greenhouse if they were viable. Emails can be sent through Greenhouse. I also scheduled hiring manager interviews using the calendar integration.

  • The scorecard system makes it easy to compare candidates.

Why did your organization buy this tool, and how long have you used it for?

We used Greenhouse to manage our candidate pipeline. Candidate applications were pulled from job boards to Greenhouse. As candidates moved through the pipeline they would receive automated emails regarding the next steps. I used it for about 6 months. The company was looking for an ATS that integrated with LinkedIn Recruiter.

What do you dislike about this tool?

The pricing isn't so clear, it depends on the size of the company and hiring needs. I think it's great for really large companies but the cost is steep for smaller firms and organizations. It's also hard to figure out, not as easy to figure out as other ATS systems.

How is this tool different than their competitors?

I think it's definitely hard to get used to compared to Cornerstone on Demand, Breezy HR or Compass. The data reporting is great but takes a lot of energy to get accurate reports.

What Instructions should people think about when buying this type of tool?

People should consider their company size. They should definitely consider the budget because if you don't really need all the add-ons, it may not be worth it. It may also be wise to consider how tech-savvy your team of recruiters are.

  • Managing candidates: Once job postings are live, candidates can apply through Greenhouse. I manage candidates and track their progress through the hiring process, including resume screening, interview scheduling, and feedback collection.

My client has used Greenhouse for the past 5 years. Being a big multinational company, Greenhouse was the best choice because it was a one-stop for all talent acquisition needs. We managed applications, interviews, scorecards, reviews, feedback, notes, and a lot more so that everyone involved in the role would be in collaboration and up to date on where the interview processes were, seamlessly.

I have no complaints about Greenhouse whatsoever.

  • I use greenhouse daily and multiple times a year.
  • I used it for interviews which included setting up interviews, building interview kits and scorecards. When setting up interviews, I don't need to send them a resume and details, it's all there available to them in Greenhouse.
  • Candidate communication with Greenhouse was quick and easy. I used it to acknowledge their applications, to reach out to coordinate interviews and also send out rejections as needed.
  • Job posting management with Greenhouse is easy. I post jobs directly to our career page with Greenhouse and update the same as needed too.
  • Developing hiring plans for each role and collaboration with interviewers is also done on Greenhouse.
  • Managing our Vendors, and easily managing their candidates in the pipeline is easy with Greenhouse. Our external recruitment partners directly submit their candidates with details on our greenhouse platform.

  • I like the notifications and alerts it provides to make sure you are able to keep things moving in timely manner.
  • The ability to search resumes is great, which helps build our own resume database. With Greenhouse , the ability to customize workflows based on the needs of each team and or role is very helpful.

As an organization we were growing and we needed a new online collaborative system which would assist us with our recruitment. As a global team, it was essential for us to use a single system. We also needed support with our interview process, being able to schedule interviews with ease. In addition, we wanted a system in place which would be used by our internal recruiters and our external vendors all in one single space. As the team grew it was not possible to effectively track our candidates, hiring process and create the necessary reports. Lastly we were looking for a tool which would be scalable as we grew and increased our hiring.

Personally, I have used Greenhouse for over 4 years and over the years have learnt more and more what can be done with it. I have used it as a part of an in-house recruitment team and as an external vendor.

Over time it helped us with onboarding too which was a plus as we needed support in that area as well.

What do you dislike about this tool?
  • It does take some time to learn the platform and how to get its best use, training is important to use Greenhouse to the fullest.
  • The UI is good, but may not be the latest compared to other products out there.
  • More integrations with job boards and softwares would be great.
How is this tool different than their competitors?

I have used Greenhouse and similar tools, Greenhouse is a robust and constantly evolving platform geared more to larger companies and or companies ready to invest more on their recruitment tool. Even though smaller growing teams can use it , I would say it is more geared to medium if not large enterprises from a price point and the initial set up time too. As mentioned quite a bit of training is needed to use Greenhouse which is not always the case for other recruitment tools. This can be a barrier to getting hiring managers to use the platform.

  • A few of the key buying criteria includes assessing the tool to make sure it solves your company's problems. All company's recruitment needs are not the same.
  • It is important to see if there is an option for a trial or atleast a demo to get an understanding of how it works, and its usability.
  • Integrations are important to consider. Teams have multiple tools for productivity, project management, performance management, compensation, and onboarding. It is important to take a look at which integrations are available when choosing a tool.

They have a mobile app which is constantly improving but helps meet  the needs of users, especially when many are working remotely. They have improved security and compliance over time too. Lastly, diversity, equity and inclusion features have been added to the tool as well which are constantly updated to the needs of the user.
